Administrator / Secretary

Julie Rose Recruitment are looking for an Office Administrator / Secretary to carry out PA duties for a partner and secretarial/admin duties for a team of Principle Designers.
**Responsibilities for the Office Administrator / Secretary**:
- PA duties for a partner such as diary keeping and organising of meetings
- Preparation for meetings, raising agendas, organising lunches, greeting clients etc.
- Filtering calls for senior management
- Ad - hoc duties for the wider organisation
- Entering data on Excel spreadsheets
- Ensuring telephone messages are brought to the attention of the team when out of office using common sense in prioritising these messages
- Formatting PD related documents
- Maintaining regular contact with Contractors to obtain practical completion dates and Health and Safety information
- Updating templated documents to coincide with regulations and both team/client requirements
- Monitoring project status
- Undertaking regular reviews of project fees
- Opening new projects on project directory and setting up corresponding mail manager links
- Assisting in hosting events
- Managing meetings and diaries
- Taking minutes for complex projects
- Enrolling staff members on suitable training
- Assisting staff with any queries regarding training, tests or technical issues
- Liaising with external training providers

- Proficient in Microsoft Outlook, Word, PowerPoint, and Excel
- Strong written and verbal communication skills
- Ability to prioritize and handle a demanding workload
- Ability to deliver at pace
- Highly organised
- Ability to work well in a team environment
