Job Title**:Office Administrator**

Accountability: Business Development Manager

Responsible for: The smooth running of the office and the administrative business of Derman
- **Main purpose of the role**:Being responsible for the smooth running of the office and the business of the organisation and undertaking all administrative tasks. Interacting with the general public by providing routine information and assistance as it relates to the organisation’s activities/services and other requested information. Providing admin support to the Chief

Executive Officer, Business Development Manager, Service Managers, and the

Board of Trustees

**Duties and Responsibilities**

1. Doing reception duties-meeting and greeting clients/visitors; answering phones, dealing with queries over the phone and handling appropriately.

2. Ensuring the cleanliness and tidiness of the office as well as ensuring office and kitchen supplies are available

3. Developing and maintaining administrative, filing and information systems including IT systems. Doing IT work, word processing and any other

4. computer-related work using different IT packages as required.

5. Being responsible for petty cash and payments of petty cash to staff as required, keeping records on petty cash, raising/paying invoices, participating in the income recovery process.

6. Supporting the business development manager with bookkeeping on Sage and carrying out all related tasks.

7. Being responsible for the notification of surgeries of absences of advocates, counsellors etc.

8. Typing various materials including correspondence, reports, newsletters, etc.; checking for accuracy and completeness; preparing things for printing or photocopying and distributing. Data Inputting.

9. Opening, recording and distributing incoming mail and dealing with outgoing mail

10. Arranging meetings, booking, and preparing meeting space and providing/arranging hospitality

11. Being responsible for the safekeeping of all confidential materials and documents of importance to the organisation.

12. Being responsible for keeping all staff records including sick/holiday leave etc.

13. Ordering supplies, ensuring order, security and cleanliness in the office

14. Being responsible for the appropriate distribution of materials to staff.

15. Being responsible for the safety and proper running of all the equipment such as computers, photocopier, fax etc. and ensuring they are in good repair. Arranging for the maintenance and repair of all the equipment

16. Taking the lead in providing and updating all the necessary information on

Derman’s services.

17. Acting in line with all the policies and procedures of the organization and in line with all relevant legislation.
