Appointments Centre Coordinator

To liaise with clinical staff around the outpatient clinic templates and provide advice as to the most efficient way of rescheduling patient bookings. To provide and receive complex information regarding clinic changes and scheduling. Analyse information and make judgment on all clinic request ensuring all patients that require their appointments to be cancelled and rescheduled are booked within the Trusts and national breach dates (18weeks) Daily decisions/judgments are made as to which outpatient clinics the patients can be rescheduled to. All breaches must be identified and reported according to Trust policy.
Utilising PAS for the conversation of slots in order to manage capacity along with eRS to ensure that the Trusts income is not affected. Managing pathway ID to ensure that all activity is recorded correctly. To liaise with Clinical services (Team Leaders, Assistant Service Managers or Service managers) regarding outpatient clinic bookings, requesting additional capacity to accommodate urgent and routine referrals To use the Clinic Utilisation report to identify empty slots and ensure clinic utilisation is maximised. To manage the booking of patient pathways in conjunction with Clinical Services, ensuring that the patient reaches the point of treatment within relevant time-scales.
To highlight any potential breaches in the patients pathway to the Clinical Teams Team Leader, Patient Pathway Team or Service Manager according to the Trusts escalation policy. To be responsible for sending out relevant appointment letters, and cancelling/rebooking patients appointments as required and in line with Trust Policy and for ensuring copies of referral letters are available Evolve for booked appointments. To action changes in clinic templates as requested by Team Leader/Service Manager. This includes ad-hoc clinics and cancellation of clinics General office duties including post, filing, photocopying, scanning & answering the phones.
