Universal Live is a full service technical solutions provider to the live event industry.

From our Head Office in West Yorkshire and our branch in Manchester, we provide equipment and support to live event clients including Event Management and Production Companies throughout the UK, Europe and beyond.

Specifically the company supplies Sound, Light, Vision, Stage, Power and Media.

**What will you do?**

We are looking for a hard-working, organised and self-motivated individual to join our Hiredesk team at our Keighley Head Office. We are particularly interested in persons who can demonstrate an interest in our industry as well as having strong organisational and administrative skills. The ability to communicate with clients and suppliers in a friendly and clear manner is also a requirement.

This team plays a crucial part to the success of our events by supporting every project with Crew booking, transport coordination, hotel booking and clear communication to the teams involved.

**Key Responsibilities include, but are not limited to**:

- Assist the Project Managers with the administration and organization of Live Events
- Book services required to produce a Live event, such as transport, crew and hotels.
- Sign off invoices and match up with Purchase Orders raised, and query the ones that do not.
- Ensure that the Company’s Procedures for any bookings for any job or part of is being adhered to
- Raise and check authorization of equipment and service purchase requests raised by the department
- Liaise with the Warehouse and the Hire Manager re vehicle rentals and ensure maximum efficiency
- Ensure that all our legal documentation is up to date and if not let the Operations Director know so the necessary arrangements can be made.
- Ensure that all documentation from our suppliers is up to date.
- Ensure all new enquiries coming into the business are responded to quickly and in a friendly manner.
- Setting up new jobs on the system and assigning an appropriate Project Manager to the event.
- Making sure all events are invoiced correctly once complete and on time.
- General office management - ordering stationery and supplies.

**What you need to do it**:

- Some experience in a related role
- Demonstrate strong administrative skills
- A confident and friendly approach
- Able to work overtime as required
- Ability to communicate and consult effectively.
- Ability to self-manage and self-motivate whilst working in a team
- Excellent IT Skills, including Microsoft Office.
- Be able show good time management skills
- Ability to work under pressure and tight deadlines
- Excellent attention to detail
- Hard working and enthusiastic

**The small print**:

- This is a permanent post commencing as soon as possible
- There is a probation period of six months
- Occasional evening and weekend working may rarely be required, for which overtime will be paid
- Basic hours of work are normally 08:30-17:00 with a 30 minute lunch break. With this role we are able to look at flexing those hours within these times depending on how many hours are contracted.
- Salary for this post is dependent on experience and on completion of probation
- The holiday leave year runs from 1 January to 31 December. Holiday entitlement for full-time employees is 23 days per annum, including three days between Christmas and New Year, plus bank holidays and rises with service
