**Accounts Support Assistant**

**Job Title: Accounts Support Assistant**

**Reporting to**:Financial Controller

**Main Purpose of Job**:

- Undertake purchasing activities for National Refrigerants and National Cylinder Testing as required.
- Maintain and update daily, weekly and monthly records within the sphere of reporting influence for things like cylinder returns, rental charges, asset register updates etc.
- Ensure all production data is recorded on the ERP system. Accurately completing and closing all work orders, identifying and solving any anomalies as they occur.
- Maintain records to required standards and requirements.
- Support the Financial Controller, Stock Administrator & Accounts Assistant as and when required, acting as holiday cover for other accounts team members.
- Provide administrative support within the accounts team.
- Assist in month end activities and reporting as required.
- Play a key role within the annual stock take activities.

**Key Tasks**:
**Accounts**:

- Provide administrative assistance and support to the accounts team.
- Input stock invoices and corrections into the ERP system, ensuring timely and accurate processing of data to meet scheduled payment and reporting deadlines.
- Retention of physical and electronic data, maintaining an accurate, complete and logical filing system to ensure the continuing company compliance against relevant GDPR and required financial practices.

**Purchasing**:

- Purchase consumable and non-consumable items for use at National Refrigerants and National Cylinder Testing as required.
- Liaise with suppliers to ensure the best value for the business is achieved.
- Place orders with new suppliers as requested by members of the business, ensuring proforma invoices are received and paid in a timely manner.
- Support the Stock Administrator and providing holiday and sickness cover for purchasing bulk stocks and bulk consumables as directed from the Plant Manager or Managing Director.
- Ensure purchase orders are received against delivery notes and completed in a timely manner to enable the Accounts Payable to process invoices and payments as required.

**Cylinder Recording.**
- Ensure cylinders returned from customers are counted accurately, entered into the company cylinder tracking software correctly and transferred into the companies ERP system in an accurate and timely manner.
- Produce reports of cylinder returns, identifying any anomalies, rectifying issues and helping prevent repeat occurrences.

**Production Processing**:

- Ensure Production data records are received from every department, verified and entered onto the ERP system in an accurate and timely manner.
