An exciting opportunity has arisen for a Information & Administration Officer in the Paediatric Neurosciences department in our newly established service, Inherited White Matter Disease (IWMD) service.

This role is responsible for supporting the data management and governance of the new IWMD Registry database including data collection, upload and management processes across the five centres.

The post holder will be the first point of contact for all IWMD patients and oversee all administrative tasks relating to the new service including booking outpatient appointments and inpatient admissions and secretarial work. They will also coordinate the national and local MDTs.

We are looking for an enthusiastic, dedicated and adaptable individual who has good attention to detail. The role demands excellent prioritisation skills, problem-solving abilities and a collaborative approach to ensure the smooth and efficient management of patient pathway. They will need to work well as part of a team, be professional and personable at all times, able to multi-task as well as being able to work under pressure.

This post supports the new ELCH-GOSH Joint Inherited White Matters Disease (IWMD) Service and incorporates a range of different administrative and information management duties as described below.

The post-holder will provide high quality data management support and governance of the new IWMD Registry database which is operated on behalf of NHS England and NHS Improvement.

The post holder will be required to accurately enter large amounts of data across the five IWMD Lead Centres and to ensure that the data is stored in accordance with the Data Protection Act and relevant guidelines. The post holder will be required to maintain databases that allow queries, reports and data retrieval to be performed in an efficient manner. The post holder may be required to provide other administrative support to the team as required.

This post will also be responsible for a wide range of administrative support to the IWMD service, including but not limited to being the first point of contact for patients and referrers, coordinating bookings and multi-disciplinary meetings and secretarial duties

Information management
- Responsible for modifying and validating the databases and to support any development work. Maintain databases and ensure their security and compliance with the data protection act.
- Accurately and efficiently enter data on to current databases. This will require a high level of attention to detail and accuracy.
- Initiates and plans statistical /analytical work programmes based on the requirements of clinical teams, researchers and other stakeholders.
- Ensure appropriate confidentiality of records and information (verbal, written and computerised).
- Provide training to referrers and the IWMD workforce on the data recording systems in use according to the IWMD Host Trust policy
- To constantly review, streamline and update processes for recording data, in order to improve data quality within the service. To take part in decision making and influence departmental changes, and contribute to and participate in review of systems, policies and procedures
- To ensure that patient data is reported to the IWMD Registry and NHS England and NHS Improvement within appropriate timescales.

Operational
- Receive patient referrals and administer in line with timings and requirements as set out in Trust and National policies.
- Co-ordinate and provide administrative support to the relevant teams to ensure that all the relevant paperwork and clinical information is available.
