We have an opportunity for an experienced administrator to join our Estates team at our head office on Hesslewood Business Park.

This is a full time position working 37 hours per week. Monday to Thursday 9 - 5, Friday 9 - 4.30.

**Reporting to our Head of Estates, your main responsibilities will be**:

- Respond to care home service requests
- Respond to emergency requests (gas leak, electricity failure etc) immediately ensuring a quick and efficient response.
- Enter service requests on to the HICA maintenance database allocating each job to the relevant contractor and arranging the works to be carried out within an agreed timescale.
- Follow up any jobs which haven’t been completed in the agreed timescale
- Keep the relevant Home Manager/Manager informed of the progress of each job at each step, acting in a professional manner at all times.
- Ensure other members of the Property team are made aware of any problems should they arise, and to make certain that in my absence enquires I have initially being dealing with continue to be dealt with.
- Once jobs have been completed ensure contractors correctly charge for their services and ensure credits are obtained when incorrect invoices are submitted.
- Ensure Statutory Inspections & PPM are undertaken
- To raise purchase orders
- Prepare reports and graphs on a monthly basis for the Head of Estates
- Processing invoices in relation to leases ensuring that charges are correct alongside those stated in the lease agreements.
- Obtain quotations from relevant contractors
- Regular day-to-day administrative responsibilities e.g. answering telephone enquires, filing, faxing, photocopying etc.
- Previous administration experience
- IT Literate
- Able to work on own initiative
- Good communication skills both written and verbally
- Ability to work to tight deadlines
- Ability to work under pressure
- Good attention to detail
- Able to work as part of a team
