Providing administration support to the Occupational Health Service for Well Being Partners including administration duties, reception duties, appointment booking and general administration duties in support of Occupational Health service delivery.
- Create/send out appointment
- Create/send out memoranda to managers listing non-attendees for pre-employment health assessments, management referrals.
- To be responsible for the quality and accuracy of all data input of both written and electronic information that they are recording.
- Print clinic session Prepare clinics i.e. ensure all health records/documentation are correct.
- Ensure Occupational Health database (Cohort system) is up-to-date by cross-referencing new starters and logging Transfer leavers’ health records within the manual filing system.
- Produce vaccination history reports from the Occupational Health database (Cohort system) when requested.
- Remove and destroy leaver files at the appropriate
- Answer telephone enquiries, directing queries/messages to the appropriate member of the Occupational Health Team in a timely manner.
- Change appointments in response to telephone calls, ensuring all data entries and documentation are changed accurately.
- Undertake reception duties e. run clinics, greet clients to the department, etc.
- Display a professional attitude at all times when dealing with the general public and colleagues alike whilst using effective communication skills to influence the outcome in issues causing concern.
- Assist members of the clinical staff with any queries concerning administrative processes

On-Call

Please note that senior positions (AFC band 8A or above) may be expected to participate in an on-call rota, if the role is predominantly operational.

The Administrative Assistant/Receptionist provides comprehensive support to the Occupational Health team by undertaking a range of administration and clerical tasks to ensure that the administrative aspects of the service run smoothly.

In addition to Wrightington, Wigan and Leigh NHS Foundation Trust, the Occupational Health Service also provides services to a number of other external organisations. The nature of the work is diverse, highly confidential and requires working to deadlines and KPI targets
