The post holder will be working flexiblyas a part of a team, responsible for providing a quality and efficient administrative service supporting the Primary Care Network multi-disciplinary team. Our clinical teams rely on our team to provide an efficient, effective service to support them in delivering the very best care to our patients.

1. Provide comprehensive administrative support to the Mental Health Primary Care Network hubs to achieve effective and efficient service provision.
2. Effectively & efficiently track the progress of patients discussed at PCN multi-disciplinary meetings ensuring effective co-operation between services across the whole PCN involved in the care of the patient.
3. Arrange & co-ordinate MHCPF meetings along with the preparation of meeting paperwork.
4. Take & transcribe a wide range of meeting minutes in an accurate and timely manner.
5. To produce administrator system audits for the local PCNs & provide data as required.
6. To accurately maintain & keep secure patient records and systems in line with policy & standard operating procedure, to ensure data quality, confidentiality & compliance with the current GDPR & Data Protection Law.
7. To produce clinical correspondence e.g. letters, reports, from a variety of sources.
8. Prioritise & screen incoming correspondence ensuring it receives appropriate attention/ direction.
9. Log & input relevant data on Trust wide systems as required e.g. Logit, SMT, F&E, E-Procurement
10. Prioritise & manage own workload to meet the needs & requirements of the service demands.
11. The use of Microsoft Office programmes including Word, Excel, Power Point, MS Teams & Outlook.
12. Work within parameters of established procedures & to seek advice when necessary.
13. Provide cover for other administrative staff within the service as required.

Systems and equipment
1. Provide a full range of office tasks including filing, photocopying, faxing and scanning.
2. Input data in to clinical data systems (RiO)

Decisions and judgements
1. Work within clear guidelines and processes but will have autonomy to plan and prioritise own workload and act independently.
2. Use initiative in resolving conflicting diary appointments and schedules.
3. Advise, support and train new starters and direct the efforts of less experienced admin.
4. At all times minimises risk to self by undertaking safe working practices whilst working under remote supervision.
5. Administer and manage petty cash if required.

Communication and relationships
1. To represent the PCN multi-disciplinary team at meetings, working with a range of internal and external stakeholders.
2. Communicate and relate with a range of employees of the Trust, visitors, service users, carers, students, members of the public and other agencies with a professional and sensitive approach using a variety of communication and customer service methods - at all times maintaining professional boundaries.
3. Receive phone calls, record messages accurately, liaise with other administrative and health professionals i.e. carers, service users and GPs ensuring that suitable action is taken.
5. Demonstrate an understanding of the importance of effective team working within a multi-disciplinary team. Have the ability to adapt and use initiative as the need arises.
6. Providing first point of contact for matters relating to the multi-disciplinary PCN Team.

Physical demands of the job
1. Be aware of physical effort with regard to sitting for long periods.
2. Be aware of the prolonged exposure to Visual Display Units (VDU) and the associated health and safety risks.
3. Dexterity, co-ordination and accuracy for keyboard and telephony skills.

Most challenging/difficult parts of the job
1. Exposure to frequent interruption to routine, relating to telephone calls and personal requests and demands.
2. Concentration in meetings to record notes accurately and to listen out for actions and key points, take notes and transpose into a word document.
3. Occasional indirect exposure to distressing or emotional circumstances.
