Human Resources Assistant

We currently have an exciting opportunity for a part time administrative assistant to join our small, friendly and dedicated Human Resources Team. Whilst the postholder will be primarily based at either Diana Princess of Wales Hospital, Grimsby, and Scunthorpe General Hospital there may be times when it will be necessary to travel to the other site to attend or support meetings; the Trust runs a regular shuttle bus service between the two sites.
The hours are Wednesday 1.15pm-5pm, and Thursday and Friday 9am-5pm. There will be a mix of office and home working required.
We will support the postholder to work towards Level 3 CIPD.
Working as the Human Resources Assistant, supporting the Human Resources team the post holder will work as part of a team to provide an efficient and effective clerical and administration service to the team under the direction of the Advisor, and in line with the agreed work plan.

- Provide support the HR team with general administration duties including answering the telephones, taking accurate messages, general distribution of post, photocopying.
- Adhere to agreed administrative processes, and to contribute to improvements in administrative processes within own area of responsibility, e.g. amending Standard Operating Procedures (SOPs)
- Notetaking at team meetings and in investigation meetings.
- Planning meetings to include team meetings, training sessions, appeal hearings.
- Responding to reference requests in accordance with the SOP; using the Electronic Staff Record (ESR) to complete the responses.
- Producing workforce reports using ESR; case reports, long term sickness reports and leavers reports.
- Be the initial point of contact for the department either by telephone or face to face. Taking appropriate action and giving informed responses with regard to internal/external customer enquiries within the boundaries of the role and escalating to the appropriate colleague as required for support or advice.
- Provide cover for other HR Assistants as appropriate during periods of absence such as annual leave, study leave, sick leave etc.
- Supporting responses to freedom of information (FOI) requests by gaining information from team colleagues, or from the payroll (ESR) or the casework tracking systems.
- Updating information on the HR page of the HUB (intranet) and adding announcements.
- Supporting the Job Evaluation Process in an administrative capacity, including scheduling job evaluation panels and acting as the point of contact between panellists and the HR Business Partner Team, to ensure timely communication of information.
- The post-holder will ensure the required documentation is submitted to the Job Evaluation Process, that jobs are appropriately allocated to panels and that contemporaneous records are maintained, including maintenance of the electronic filing system and the tracking spreadsheet, to enable the production of key performance reports.
- Scheduling HR Line Manager training sessions which includes creating the sessions on the ESR Oracle Learning Manager (OLM) system to enable staff to book onto a session, booking training rooms, and booking HR colleagues to facilitate the training.
- On a day to day basis the postholder should ensure all work is managed in an efficient, consistent and effective manner whilst adhering to Trust policies.
- Attend meetings with the required departments within own Directorate of People and others across the Trust, distribute agenda as appropriate and take minutes as required.
- The post holder communicates (both informally and formally) with all staff within the Trust and Professional Representatives.
