Part-time Legal Secretary/receptionist

**Objective**:
To provide secretarial and receptionist support to the Solicitors of the practice.
**Responsible to**:
**The Director**
**Key Tasks**
1. Ensuring file management is in accordance with Quality Procedures Manual, SQM requirements.
2. Reception duties. Taking calls and attending to all walk-in Client enquiries. transferring calls to Solicitors and taking messages and enquiries to pass to the Director and Solicitors.
3. Liaising with clients in person and by telephone in a professional and friendly manner in keeping with the firm’s standards for client care
4. Liaising with others by telephone
5. Arranging mail dispatch by post, or Document Exchange
6. Preparation of correspondence and documents through audio typing and word processing
7. Maintaining up to date time records as appropriate
8. Maintaining diaries and making appointments for the Director on outlook dairy when required.
9. Photocopying when required. Scanning of all incoming posts to respective Solicitors as required.
10. Ensure the confidentiality of all the firm’s and clients’ documentation and information
11. Consumables ordering
12. Daily filing including file opening, closing, storage and retrieval of client files
13. Contributing to maintaining a safe and healthy working environment.
14. Contributing to maintaining and improving office procedures.
15. Ensuring compliance with Equality and Diversity Policy.
16. Any other duties which from time to time are required by the firm.
- Greeting clients on arrival and directing them to the appropriate fee earner
- Switchboard duties
- Maintain central diaries and making appointments when required
- Ordering and delivering outgoing mail
- Updating legal reference materials
- Relief typing/secretarial duties
- Ensuring file management is in accordance with Quality Procedures Manual, LAA and SQM requirements.
