**The role**

Reporting to Fee Earners (including Partners) within the department, the prime role of the Legal Assistant is to provide direct support to their department to enable them to operate at optimum efficiency. The Legal Assistant is expected to use initiative to fulfil their role. Quality and accuracy of work in terms of written documents and client communication are paramount. For the purposes of risk management, Legal Assistants must not provide legal advice to clients.

The responsibilities will include, but will not be limited to:

- Prepare correspondence and documents through audio-typing and word processing.
- Administer filing which will include the opening, closing, storage and retrieval of client files.
- Prepare mail and enclosures for dispatch, either electronically or through the postal system.
- Ensure all scanning and/or copying is completed.
- Effective processing of incoming telephone calls including the logging of calls and conveying of messages.
- Make appointments and maintain an up to date diary for their principals.
- Prepare meeting rooms, as necessary, and tidy and clear the room at the end of the meeting.
- Provide refreshments for client meetings when asked to do so.
- Attend on clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm’s standards for client care.
- Undertake any specific training when required to do so and overall to have a responsibility towards self-development.
- Comply with all policies and procedures in place at the firm to ensure the firm’s aims are met.
- Provide support to other Legal Assistants as required.

**Required experience, skills and attributes**

The main attributes we look for, but will not be limited to, are:

- Possessing excellent organisation skills and having exceptional attention to detail;
- Being pro-active in terms of managing your workload; and
- Strong communication skills and a proven ability to work and build positive relationships with colleagues.
- Time management skills.
- Ability to work under pressure and meet deadlines.
- Ability to work independently.
- Aptitude for working with computers.
- Experience of audio-typing is advantageous but training can be given.
- Ability to act with professionalism and courtesy to all personnel of the firm.
- Ability to act with tact and discretion, maintaining confidentiality of all the firm’s and clients’ documentation and information.
