We are looking to recruit enthusiastic and self motivated individuals to join the Breast Team on a permanent basis as a reception team leader. The post holder will ensure the smooth running of the reception area, as well as provide support to more junior members of the reception team.

Main duties of the job

Based largely in the reception area of the Breast Institute, the post holder will support the reception functions of department.

The role would require supervising and supporting a team to ensure they complete all daily tasks and general duties including preparing clinics, chasing outcomes, making and changing appointments, filing and answering the phone. The position would also involve providing cover for the reception desks when required both at the Breast Institute and at Ropewalk House.

Good communication skills and the ability to prioritise workloads, in view of changing priorities are essential. Also the need to work under your own initiative is necessary.

The Nottingham Breast Institute was opened in 2003 and provides all outpatients services for those requiring diagnosis or treatment in the Nottingham area. The centre also delivers the Nottingham Breast Screening Service with a screening population of over 90,000 women, although this is set to rise further when the Programme's age extension is fully implemented.

Detailed job description and main responsibilities

The role would require supervising and supporting the reception team to ensure they complete all daily tasks and general duties including preparing clinics, chasing outcomes, making and changing appointments, filing and answering the phone. The position would also involve providing cover for the reception desks when required both at the Breast Institute and at Ropewalk House.

You will work closely with the admin coordinator to draft up the weekly rota for the clerical officers and take a leading role in training the new starters and supporting more junior member of staff. The role will also supervise the reception team and report any issues directly to the Deputy Service Manager. You will work closely with the Deputy Service Manager and be proactive in suggesting or recommending any process changes that are needed as well as aiding in the implementation of any changes.

As well as taking a supervisory role the post-holder will undertake a range of clerical and reception duties in the busy administration department of the Nottingham Breast Screening Service, which screens over 100,000 women. The post holder will be required to reconcile and validate clinics using Hospital Information systems, be the first port of call for all visitors to the unit and assist in the preparation of breast screening clinics. There is a requirement to travel between the City Hospital Campus and Ropewalk House Campus of the Nottingham University Hospitals NHS Trust.

Essential criteria
- Educated to GCSE level in maths and English, Grade C or above
- NVQ3 Business Administration/Reception, or equivalent experience
- EDCL or equivalent experience
- Knowledge of Hospital Information systems

Experience

Essential criteria
- General office experience, including reception work
- Knowledge of Medical terminology
- Experience in using Microsoft, Word, Outlook
- Possess a thorough understanding of the patient focussed care concept and customer expectations

Desirable criteria
- Knowledge of the Breast Screening service
- Supervisory or line management experience

Communication and relationship skills
