**JOB PURPOSE SUMMARY**:
To manage and work within the vibrant and dynamic bookings/scheduling department who are responsible for efficiently scheduling engineers for pre-planned, reactive and emergency repairs on day to day basis.

**MAIN RESPONSIBILITIES**:
1. Managing the bookings department and ensuring the deadlines are met.

2. Monitoring the daily progress of incoming jobs, how they are prioritised and SLA’s to customers.

3. Monitoring of pre-existing jobs to ensure that deadlines are met, and complaints are avoided.

4. Motivating the team and guiding them to taking accountability, responsibility and ownership to see tasks through to the end.

5. Advising the team on the logistics of job scheduling and job management.

6. Coordinating between our clients, internal office team and the field team to ensure best customer experience in line with efficient service from Snowik Team.

7. Managing the risk of a potential complaints where our SLA’s are not being met.

8. Taking ownership and handling the communication on job from start to finish and ensuring this is upheld by the bookings team.

9. Updating clients with progress of works for all jobs.

10. Providing knowledge of prioritising jobs / reports by urgency.

11. Opening jobs and loading it on to the system software accurately.

12. Taking Clients works order and booking in appointments for work accurately and efficiently.

13. Updating Residents on progress and delays on the jobs

14. Developing an in depth understanding of rotating and moving the diary over to ensure the most efficient method of logistics of scheduling.

**KEY SKILLS REQUIRED**:
1. Very strong natural sense of prioritising jobs and understanding customer needs.

2. Very strong customer service skills with excellent balance of diplomacy and firmness in line with costs and expenses.

3. Clear communication with professional call handling skills

4. Strong time management skills and working with tight deadlines and emergencies

5. Understanding very specific high priority job scenarios that must take precedence over less important duties.

6. Strong ability to manage own workload as well as oversee workload of bookings department.

7. Computer literate with a good knowledge of MS package.

8. Willingness to learn new software/CRM system.

9. Presentable and clean and tidy appearance.

**ADVANTAGEOUS SKILLS**:
1. Knowledge of property maintenance/building industry.

2. Knowledge greater London postcodes with understanding of challenges faced with driving in Central London.

3. Understanding of different trade terms and task carried out within those trades will be beneficial.

4. Experience of working in a similar environment and managing people and clients’ portfolios is highly recommended.
