**Purpose of job**

Supporting all aspects of the IS PMO service as detailed in the tasks below:

- Reporting Support to governance of project portfolio (Stage Gates)
- Project On-line administration
- Management of engagement and pipeline projects
- SharePoint support
- Project Manager & Portfolio support

**Key Job Responsibilities and Deliverables**

**Reporting Service**
- Standardised reporting: Develop and maintain standardised reporting tools for IS projects and tasks, covering project/task progress, achievements, objectives, milestones, RAG statuses, risks and issues.
- Templates: Develop and maintain standard templates for Project Status Reports, Level 4 Microsoft Project Plans and Risk Register aligned with AWE Risk and Opportunity Management Practices.
- Status reports: Collate and analyse information from individual project Status Reports on a monthly basis, in support of IS corporate reporting requirements. Support the production of the monthly summary report for review at the IS SLT Meeting.
- Continuous improvement: Continually review existing reporting processes/collateral and optimise how these can feed into templates to minimise maintenance and migration effort.
- Overall status information: develop and maintain a mechanism for feeding overall status information into the Portfolio task list.
- Ad-hoc reports: Subject to capacity and prioritisation under the direction of the IS Chief Technology Officer and IS PMO Lead produce ad hoc reports on behalf of the Information Services Senior Leadership Team (IS SLT).

**Governance Support Service**
- Project Governance Support: provide direct support to the IS PMO Lead in the governance of IS projects and tasks.
- Stage Gate Meetings: Attend IS Stage Gate meetings, and where required, lead on behalf of the IS PMO Lead.
- Management Reporting: Produce reports as agreed by the IS PMO Lead to track progress and to support regular IS Management meetings.

**Project On-line**
- Administration and reporting: provide support for all aspects of Project On-line.
- Oversee allocation of licenses and ensure the initial set-up of new project environments
- Creating and maintain the specified resource types and provide support to IS Resource specialist as required.
- Promote project management best practice by proving guidance and support to IS Project Managers on all aspects of Project On-line.
- Support reporting through the creation of bespoke reports and views as required.

**SharePoint Administration**
- Creation of SharePoint project sites for PMs
- Maintenance & trouble shooting of all PMO SharePoint areas.
- Create new templated project libraries
- General support to PMs & Portfolio Managers as required.
- Support continuous improvement e.g. Support automation of document approvals through SharePoint approval workflows and other power automate technologies as appropriate

**PMO process reviews of new versions**
- Support continuous improvement of PMO processes and documentation through seeking end
- feedback
- Work with the PMO team to review and update processes and associated documentation in line with the PMO maturity model.
- Ensure version appropriate version control through removing / archiving historic documentation.
- Update SharePoint Comms site with latest links and documentation to support the latest version releases.

- Proven experience managing successful complex projects.
- SC Clearance
- Experience of managing and supporting Governance the public sector or a defence organisation.
- Experience of Project on-line and SharePoint administration.
- Knowledge of MS Office

**Beneficial skills and Experience**:

- Experience of working in the public sector or a defence organisation is a plus
- Understanding of MS projects beneficial but not essential
- Power BI
- Basic level of BA or PM work
- Prince 2 desirable but not essential
