- About your team
- The coordinator team provides advanced organizational and administrative support to our Investment management team. The duties include diary management, meeting organisation, trip and travel arrangements, printing reports, hand-over notes and general administration duties.
- About your role
- Maintain and proactively manage multiple, busy Microsoft Outlook diaries ensuring accuracy and appropriate level of detail
- Work closely and collaboratively with the Corporate Access team to arrange attendance for IPs at company meetings, conferences and FIL arranged trips.
- Ensure that meeting attendance records for all Investment professionals are accurate and complete on Mercury
- Arrange all logistics for meetings including meeting room booking, ensuring appropriate catering has been ordered
- Schedule, prepare and distribute appropriate information for meetings where necessary
- Organise broker and internal meetings ensuring that all broker meetings are recorded
- Ensure that meeting attendance records are accurate and complete in necessary systems
- Organisation of frequently changing travel schedules and ensuring appropriate visas are obtained
- Completion of expense reports within departmental guidelines
- Organise, prioritise and manage daily work load using own initiative
- Print reports and broker research for the Investment Professionals as requested
- Maintain up-to-date and accurate documentation specific to the coordinator department e.g. cover plan for role
- Work effectively within a team and provide cover and assistance to colleagues
- Additional administrative requests when required
- To be familiar with and adhere to the requirements of Fidelity’s Code of Ethics- About you
- Excellent organisation skills and the ability to efficiently multi-task and prioritise workload
- Proven experience of supporting busy and demanding professionals
- Strong team player and ability do flex workload to help support/cover other team members
- Solid experience of dealing with frequently changing travel plans
- Professional and enthusiastic with a flexible and positive attitude
- Excellent interpersonal skills with clear and concise communication
- Strong written and verbal communication skills
- Demonstrates maturity, diplomacy and discretion
- Ability to build and maintain relationships with both internal and external contacts at all levels
- Conscientious and very detail oriented
- Proven ability to work independently and take initiative as needed
- Must have proficiency with Microsoft Office: Outlook, Word, Excel- Feel rewarded
