Job description for: Client Relationship Manager / Client Review Administrator**Overview of role**
Administration for the Advisers
Client Review Administrator
**General responsibilities**
- Liaising with colleagues, advisers, clients and providers as required in a professional, courteous and timely manner
- Answering/making phone calls in accordance with company policy with regards to style and following security protocols to validate the client
- Ensuring client data is securely processed/transferred in every instance
- Complying with all company policies at all times
- Maintaining competence in Continuing Professional Development (CPD) as directed by the Compliance Manager
- Dealing with client queries in an efficient and timely manner
- To cover colleagues’ work in the event of holiday, sickness or other required reason
**Specific responsibilities**
Letters Of Authorities / General Duties
- Send out Letters of Authorities to providers and set up task on Finplan with comprehensive notes
- Look at the information once received from the providers to ensure we have everything the Adviser needs, and add to Finplan. If anything is missing contact the Provider again. Chase Providers for the information if needed
- Keep the client updated on turnaround times
- Let Advisers know when the information has been received for all policies
- Send out Suitability Reports with all the documents and paperwork the client needs (complete as much of the paperwork for the client as we can). Chase client after 2 weeks and arrange a meeting with the Adviser if needed
- Scan all paperwork onto Finplan
- Send out meeting notes from Annual Review, initial meetings and feedback meetings
- Ad-hoc client queries
- Ad-hoc duties when required
New Business
- Smartsearch for all new clients
- Submit new business and any top up investments online, or post to Providers and confirm to client with further updates when/if needed
- Check for pension/isa transfers after 2 weeks and chase providers for an update and turnaround time
- Deal with any queries if there are any for a delayed transfer
- Update Finplan when all transfers/investments received and send completion letter to the client
Servicing
- Rebalance policies
- GIA to ISA (checking CGT)
- Send out post meeting Miffid letter if needed
- Cancel/amend regular income payments and regular contributions
- Process drawdown requests
- Process change of address requested requesting proof of new address
- Process change of bank details - a form should be completed and the client called to verify the new bank details
- Administration for deceased clients
- Request policy information when needed outside of their annual review
- GAD reviews
Reviews
- Invite clients to attend their Annual Review
- Ensure all documentation is up to date
- Book clients Annual Review
- Updating Finplan with current valuations obtained from providers
- Send out pre meeting Miffid letter if needed
- Prepare meeting pack and post to client if necessary.
Pay: £25,080.00-£25,650.00 per year
