**About the Role**

We are looking for a dedicated Sales & Proposals Administrator to provide top-notch administrative support to our Internal and External sales teams. Your primary responsibilities will include ensuring timely and accurate sales orders and quotations while delivering exceptional customer service. Adhering to ISO procedures and meeting customer requirements will be at the heart of everything you do. The key responsibilities for this role will be:

- **Efficient Communication**: Manage incoming enquiries via the sales inbox and direct them to the appropriate team members.
- **Quotation Preparation**: Prepare standard quotations following guidance from the external sales or proposals team.
- **Timely Follow-ups**: Promptly follow up on quotations and other enquiries.
- **CRM Management**: Maintain customer record cards, including detailed customer notes in our CRM system (EFACS).
- **Order Processing**: Accurately enter and review sales orders within one working day.
- **Customer Service Excellence**: Respond to customer enquiries about lead times, pricing, sales documentation, and post-shipping and invoice queries within agreed timescales.
- **Relationship Building**: Develop and maintain positive relationships with both internal and external customers.
- **Issue Resolution**: Liaise with customers and External Sales on order progress, escalate issues promptly, and handle returns and customer concerns efficiently.
- **Knowledge Expansion**: Develop a strong understanding of our extensive product database and manufacturing lead times.
- **Team Support**: Assist Internal and External Sales Teams during absences or high workload periods.
- **Meeting Participation**: Prepare for and actively participate in customer or company meetings as required.

We seek a motivated, adaptable individual who thrives in a busy, hybrid work environment who is willing to spend two days a week on-site.

**Experience**:

- Demonstrable customer service and administration experience within an office-based environment
- Computer literate (intermediate or advanced)
- Experience and confidence working in a customer facing environment
- Commercially aware to be able to identify sales opportunities
- Able to demonstrate accuracy whilst remaining efficient
- Demonstrable prioritisation and time management scheduling skills
- Comfortable to switch between sales and proposals tasks when required
- Good level of numeracy

**Additional Desirables**:

- Ability to read and speak an second language
- Experience of working within a manufacturing environment
- Account management and sales order experience
- Awareness of Incoterms
- ISO9000 understanding and experience
- Knowledge of outlook software
- Knowledge of a CRM system
- Knowledge of a database system
- Experience of a Sales Office Environment in any industry
