**Job purpose**

To provide quality administrative support, across Play Wales, through effective planning and organisation.

**Main tasks**
- To liaise with callers (in person and by telephone) and provide information and assistance as required.
- To assist with scheduled distribution of Play Wales magazine and other mail-outs
- To deal with incoming and outgoing post.
- To format and reproduce reports, documents, letters, spread sheets and PowerPoint presentations.
- To contribute to the maintenance of an effective and efficient computerised and manual filing system.
- Book and organise travel arrangements for senior staff if required.
- To provide administrative support to staff organising conferences, seminars, and meetings, internal and external.
- To assist in the maintenance of office stationery and equipment
- To meet and greet all visitors to the office and offer hospitality as required.
- To undertake all responsibilities to promote equality of opportunity.
- To minute meetings as required.
- To undertake reasonable duties, at the direction of the Operations Manager.

**Person Specification**
- Good working knowledge of Office 365, preferably for Mac
- Previous experience of working in an office environment
- Experience of communicating clearly and effectively with the public and representatives from organisations, in person, virtually, in writing and by telephone
- The ability to plan and prioritise, working on your own initiative, and the ability to work under pressure
- The ability to work as part of a small team
- Experience of planning and carrying out work to meet deadlines.
- Fluency in written and verbal Welsh
- Experience of minute taking
- Data entry.
