LPFT have a Section 75 agreement under the National Health Service Act (2006) where Lincolnshire County Council have devolved their assessment and care management duties to LPFT. Social work in the Trust is delivered through a Community Social Care Resource where social care staff are aligned to the integrated community teams but are managed and supervised from within the social care resource.

This post will be part of the newly formed S75 Social Care East Team and will undertake clerical / secretarial duties in support of clinical and non-clinical activity in the team, ensuring administrative support is available to all members of the team as appropriate.

The purpose of this post is to provide efficient and effective administrative support to colleagues within the Service and Trust resulting in safe and effective treatments for service users and their families / carers.

The Post holder will be expected to assist in the daily administration of the department and to contribute to the overall effectiveness of the service.

As part of the larger administrative team assist with the provision of a full and efficient clerical and secretarial service to the Team Managers including dealing with incoming mail, the provision of a minute taking, preparation and distribution service, the inputting and extraction of performance and information data and assisting with routine typing and administrative tasks in line with trust procedures.

To provide a welcoming and professional reception to the service and to ensure both telephone and personal enquiries are dealt with in a confidential and efficient manner.

To respond to queries and incoming calls on a daily basis, and be the first point of contact for referrals, which may be non-routine and can sometimes involve information of emotional and distressing circumstances, ensuring prompt attention in a professional and sensitive manner, assessing situations and seeking further information where required.

To extract sufficient information to pass to the team Co ordinator to ensure that the level of urgency of the referral mandates an immediate response from a senior clinician.

To work closely with the Manager of the Service and under their direction and using the appropriate tools assist with the administrative tasks associated with the service response and allocation of referrals to AMHP and BIA staff.

To collect appropriate information from referrals and input and scan documents accurately onto Clinical systems and databases and spreadsheets in a timely and accurate manner according to Information Governance standards and Trust policy.

To assist the team manager with the compilation and re ordering of a roster of staff to ensure continuity and patient safety in a changing environment.

To ensure patient/ service user and staff confidentiality is maintained at all times adhering to Trust and national policy regarding same.

To be the point of contact for the team in ordering and receipting of goods and services in line with Standing Financial instructions

To prepare and process documentation in respect of the electronic ordering, receipting and payment of stationary and goods in accordance with Standing Financial Instructions.

To assist with the distribution and collation of information around referrals, waiting lists and other statistics to ensure optimum usage of facilities and assist the team co-ordinator in monitoring statistics thus ens
