**Job summary**:
The Government Art Collection, promotes British art and contributes to cultural diplomacy. Dating from 1899, the Collection is a unique resource with over 15,000 British works of art spanning six centuries in a range of media.

About 60% of the Collection is on display in 125 British Government buildings around the world, making it the most widely distributed collection of British art in the world. For further information see: artcollection.culture.gov.uk.

The Government Art Collection team is part of the Cultural Diplomacy, Loans and Visitor Economy Directorate within DCMS.

**Role of Registrar**

Reporting to the Head of Collection Care, Registrars are museum specialists with a crucial responsibility for managing all movements and tracking locations of the nearly 15,000 GAC artworks in 400 buildings worldwide.

Through the auditing programmes, they have annual contact with every international location, and their equivalents at national level.

Registrars also procure contracted services for the Collection; prepare legal paperwork, manage the loans programme, support new acquisitions and are essential to all logistics around collection care, conservation and public engagement.

They have a key role at the Collection, with every art movement, loan, decant, new display, acquisition or installation information pathway feeding through them for operational delivery.

**Job description**:
**Key Responsibilities**:

- Arranging transport of works of art from the Collection into and out of working government buildings in the UK and abroad, including oversight of customs documentation and procedures;
- Arranging transport and overseeing installation of displays for Ministers and Senior Civil Servants;
- Organising transport to and from framers and conservators ensuring works are returned in time for display;
- Updating locations and other information onto GAC database;
- Managing inventory control and annual audits for works of art at c. 400 locations worldwide;
- Managing transport and installation budgets, in consultation with Head of Collection Care;
- Maintaining paper and electronic files;
- To act as the main point of contact for queries from display locations, providing advice on movement, care and use of works on loan;
- Administering long-term loans into the Collection from public and private sources and from the Collection to museums and similar institutions, requiring operational knowledge of the Government Indemnity Scheme;
- Administering loans from the Collection to public exhibitions in the UK and abroad, requiring knowledge and experience of other indemnity schemes and insurance needs. Negotiating with locations where requested works are on display;
Shared with other colleagues:

- Meeting government ministers and senior civil servants, and briefing on care of collection objects;
- Supervising installations and moves in UK and abroad;
- Occasional guided tours to public and specialist groups at the GAC’s premises;
- Reviewing GAC Collection Management policies and procedures as required.

**Person specification**:
**Essential Requirements**:

- Registrarial experience in a museum, art gallery or similar environment, including documentation, loans management, transport in the UK and abroad and the conservation requirements of works of art;
- A methodical, detailed and self-motivated approach to work with excellent team working, interpersonal and communication skills;
- Experience in managing contracts and budgets;
- Ability to work under pressure and to tight deadlines;
- IT Skills; particularly with Google Suite, MS Office and collection management systems;
- Knowledge of the standards and procedures required for the safe movement and display of artworks

- Working in a demanding political and international environment, this job also requires tact, diplomacy, lateral thinking and discretion.
