About the Opportunity:

Registrar

David Zwirner seeks a Registrar for a 12 month maternity cover for its London gallery. Qualified candidates should be highly personable, proactive, motivated, and have strong communication skills. Previous experience at a gallery, museum, or comparable arts organization is required.

HOURS: Monday - Friday, 10.00 – 18.00, with some out-of-hours work

REPORTING TO: Head Registrar, DZL

SUPERVISES: Interns

What you’ll do:

General:

  • Exhibition logistics management: discuss shipping and operational needs with departments, provide shipping and crating budgets and timelines, prepare/oversee both internal and client condition reports and manage exhibition dispersals.
  • Responsible for coordinating communication with DZL, DZP, DZHK, and DZNY registration and operation teams.
  • Draft and oversee consignment and loan agreements in/out.
  • Coordinate domestic and international shipments for exhibitions, loans, consignments and post sales.
  • Oversee and manage consol and shuttle shipments between galleries.
  • Work with the Art Fairs department for shipments to/from London and Europe, provide packing and handling requirements, complete condition reports, and support post sale shipping.
  • Responsible for tracking, logging and communicating costs, chargebacks to clients/consignors, submitting invoices and relaying budget allocations.
  • Supervise and manage intern workloads.

Inventory:

  • Manage and monitor inventory movements locally and between DZP and DZL.
  • Ensure artworks are accurately processed for cataloguing and transport/packing purposes. (confirming dimensions, inscriptions, applying artwork labels where required, verso images, assessing packing with technical teams to ensure works are stored and handled appropriately)
  • Coordinate packing requirements as needed.
  • Generate and maintain collections within DZDB and internal documents to monitor consignments, loans, sold/paid, dispersals, conservation, consolidated shipments and spending.
  • Oversee storage reports for DZL and offsite warehouses.
  • Create and maintain inventory control processes and protocols.

Condition:

  • Conduct incoming and outgoing condition reports.
  • Coordinate consultations and checks by conservators, initiating conservation where necessary.
  • Maintain Condition Report Archive

Shipping:

  • Manage consolidated international shipments of inventory, setting list deadlines and collection dates, directing inventory and art handling teams and external vendors through to completion.
  • Work closely with the Sales team to coordinate international shipments of sold works from DZL and Non-US Art Fairs to clients worldwide.
  • Manage sold client shipping, including obtaining estimates and Certificates of Insurance, coordinating with clients for their needs, advising clients and relaying all information to the sales team.
  • Tracking and managing paid/unshipped artworks.
  • Ensure manuals and installation information is provided to clients or consignees.
  • Coordinate with the sales team for inventory for gallery viewings.
  • Serve as courier for important loans and high-value works as and when needed.
  • Process and update locations of art according to hands-on information; from release and receiving paperwork from art handling.

TA / Customs:

  • Manage DZDB Customs data entry for artwork imports/exports onto DZL/ DZP TA /UKFC/BOND
  • Manage and monitor customs accounts and prepare for future audits.
  • Pull customs data to ensure record keeping is accurate.
  • Create and maintain customs control processes and protocols

Accounting:

  • Submit information to Finance for issuance of invoices.
  • Supplying proof of exports as required for audit purposes.
  • Review invoices and log costs where necessary.
  • Work with accounts to raise misc invoices for chargebacks to clients/consignors.
  • Communicating costs incurred and budget allocations.

What we would like you to have:

  • Minimum 3 years of experience in a similar position in the field of contemporary art.
  • Focused, reliable, and exacting attention to detail.
  • Must be able to work with team members at all levels.
  • Strong written and verbal communication skills with the ability to work cross departmentally.
  • Familiarity with various mediums of artwork.
  • Must be extremely detail-oriented and able to work on multiple projects at once.
