A vacancy has arisen for a Appointments Co-Ordinator within the Ophthalmology Dept admin and clerical department to support the service

Whilst this role is being advertised as a permanent position, there is an expectation that the successful applicant must complete all elements of the apprenticeship. Initially, the successful applicant will be placed on a fixed term apprenticeship contract for the duration of the programme. Upon completion of the apprenticeship and providing all additional milestones are met, the successful applicant will be issued a permanent contract.

Book and advise patients of appointment following agreed protocols

Ensure lists are booked to full capacity as per agreed template, making suggestions as to any modifications to ensure smooth running of clinic based demand

To assist in the production of waiting time statistics

First port of call for appointment queries, escalating any complaints to appropriate manager as required

Check in patients ensuring correct personal details are held in Cerner making any updates necessary to the records

Status appointments once complete ensuring any further actions are undertaken in line with the Trust’s Patient Access policy

Send out any relevant documentation to patients regarding their appointment and care

Liaise with other departments where necessary

Liaise with appropriate Medical Secretaries to resolve matters in relation to appointments

Rebook patients who have had to be cancelled, or who cannot make the date originally given to them in line with Trust policies and guidelines

Ensure documentation is completed and forwarded as necessary should patients appointment be cancelled

Receive and acknowledge incoming referral letters to service and liaise with Consultants as required

Ensure appointments are booked within diagnostic and government guidelines
