This apprenticeship is suitable for anyone with a desire to learn and develop their administration skills with a view to beginning a career in administration and gain a Business Administration Level 3 Apprenticeship.

This Business Administration Apprenticeship at Gloucestershire Hospitals NHS Foundation Trust is an exciting opportunity to learn new skills and become part of the Unscheduled Care Administrative Support Team. The apprentice will gain valuable administration experience.

The successful applicant will receive induction and training appropriate to the activities he or she will undertake, and following this induction period will be enrolled to the Level 3 Business Administration Apprenticeship.

The Apprentice will be expected to complete the elements of the apprenticeship within the 18 months’ timeframe.

We provide acute hospital services from two large district general hospitals, Cheltenham General Hospital and Gloucestershire Royal Hospital. Maternity Services are also provided at Stroud Maternity Hospital. We remain the major provider of secondary care services in the area and analysis shows that for Gloucestershire we are the leading acute healthcare provider by a significant margin.

We wish to appoint an efficient and committed Apprentice Business Administrator to provide administration support to the Unscheduled Care Team by ensuring the smooth co-ordination of the medical on call rotas for the Junior Doctors and Acute Medicine Consultants for Gloucester Royal Hospital.

The post holder will be responsible for the provision of effective rota management by forward planning and by ensuring all in and out of hours rotas are covered by the most appropriate and cost-effective solution. They will be responsible for finding internal cover for vacancies and other absences and proactively managing vacancies in conjunction with medical staffing.

The post holder will construct, publish and distribute named rotas in line with rota patterns set out by Medical Staffing alongside the Rota Coordinator Team.

**The Rota Co-ordinator are responsible for**:

- All medical on call rotas
- Support the other rota co-ordinators in times of sickness and absence i.e. annual leave
- Identify and implement opportunities for service improvement
- For the Consultant rota, identify staffing gaps and proactively fill with locums/bank
- Publishing of locum shifts on ‘Locums Nest’ once gaps are identified on both rotas
- Work with medical staffing team in order to adjust any less than full time rota patterns, publishing shift gap as appropriate
- Ensuring that any rota swaps requested are compliant and adjusting rotas as necessary
- Authorise bank timesheets ensuring they are accurate

This position is primarily based at Gloucestershire Royal Hospital, but the post holder will be responsible for the rota cover at both acute sites; therefore, you may need to work at Cheltenham General Hospital as and when required.

The successful applicant will receive induction and training appropriate to the activities they will undertake, and following this induction period will be enrolled to the Level 3 Business Administration Apprenticeship with Adult Education in Gloucestershire.

The Apprentice will be expected to complete the elements of the apprenticeship within the 18 months’ timeframe. This apprenticeship includes:

- Level 3 Business Administrator apprenticeship standard - assessed through end point assessment
- Knowledge - The organisation, values of their skills, stakeholders, relevant regulation, policies, business fundamentals, processes, external environmental factors
- Skills - IT, record and document production, decision making, interpersonal skills, communications, quality, planning and organisation, project management
- Behaviours - Professionalism, personal qualities, managing performance, adaptability, responsibility
- Functional Skill English and Maths if not previously attained Level 2 equivalent before.
