Senior Administrator - Neurology
- Band 4

The Department of Neurology at Southmead Hospital is seeking a dynamic individual to join our team as a Senior Administrator.

The post holder will play a key role in the team providing a full range of secretarial and administrative duties.

The post holder will play a key role in the team providing a full range of secretarial and administrative duties. The role involves working both independently to complete and lead on a variety of projects

The post holder will have a key role in the provision of services and will need to exercise initiative, independent judgement and decision making to ensure an effective and high-quality service is delivered. The post holder will ensure that the data on the system is clean at all times and that training initiatives are implemented to ensure that the number of pathways needing validation are minimised.

It is a busy and demanding role where priorities can change and therefore the post holder will need to be organised and have the ability prioritise their workload and the workload of the band 3 administrators effectively.

This exciting opportunity involves working in close cooperation with the Neurology Performance Manager and Neurology Support Manager.

Knowledge
- Working knowledge of relevant hospital systems (Careflow, ICE, EDMS) desirable
- Knowledge of Microsoft office packages (Word, Outlook, Excel, Teams)
- Knowledge of the BNSSG Patient Access Policy / the Trust’s own policies and procedures desirable
- Understanding of Patient confidentiality and data protection legislation

Training /Qualifications
- Educated to GCSE English standard or equivalent
- NVQ in Business Administration desirable
- Working knowledge of Microsoft office packages (Word, Outlook, Excel, Teams)
- Excellent database and word processing skills

Experience
- Experience of working in a patient or customer-focused role
- Experience of working in an office environment - providing administrative support as part of a team
- Previous experience within an acute health care setting
- Previous experience of waiting list management and complex data validation within the NHS is desirable

Skills Required
- Deliver a high standard of accurate and reliable information, in accordance with legislation and Trust policies
- Use own initiative to maintain quality of work without constant supervision, exercising judgement when dealing with enquiries to ensure clinical priorities are identified and actioned accordingly
- Flexibility to cope with pressures / demands and to work within conflicting deadlines
- Must be able to plan and prioritise daily workload within agreed standards and oversee the workload of junior staff
- To work as a member of multiple sub-teams within the department to ensure support is shared equitably, developing strong lines of communication to manage expectations
- Must be computer literate with a working knowledge of Microsoft Word / Outlook / Excel and exceptional audio typing skills
- Must be able to work in a methodical and organised way with the ability to concentrate and maintain appropriate attention to detail
- Excellent organisational skills and ability to prioritise own workload and that of junior staff
- Proven interpersonal and communication skills
- Ability to work unsupervised, use own initiative and make decisions
- Ability to use initiative when establishing new working systems and patterns
- Demonstrated adaptability
- Ability to problem-solve and find creative solutions.

Main Duties and Responsibilities of the post
- Organising ad hoc bookings, rescheduling or cancelling clinics when requested
- Ensure all patient pathway statuses are correct at every stage of their pathway.
- Maintaining spreadsheets and databases; updating patient records with outcome of clinic appointments, ensuring all required action is taken (i.e., arranging follow-up, tests are requested etc.).
- To collect information required to support the monitoring of patients on clinical pathways using various hospital computer systems and liaising with a number of departments to obtain the relevant information.
- To ensure that complete, accurate and timely data is recorded on the Patient Administration system and other Trust systems as required in line with local policy.
- To highlight areas of incorrect data entry and work with these areas to educate and improve their processes.
- To respond to queries from the Operations team and Information Management team regarding validation of waiting lists, and co-ordinate the departments follow-up and planned action to address these queries.
