Due to progression, **Winston Solicitors **in **Roundhay, North Leeds** are looking for a **Part-Time Administration Assistant **to work **20 hours per week 1:30pm to 5:30pm Monday to Friday. **You must be available to work a minimum of these hours. There is opportunity for **paid overtime** in the mornings for holiday cover.

Along with a Receptionist you will assist in the **smooth running of the practice** by providing a **professional client facing administrative service**. There will be times that you will also cover **reception**. Main duties will be processing **incoming telephone** calls without delay, dealing with **client enquiries,** clearly **communicating messages** to colleagues whilst undertaking various **administrative dutie**s such as **photocopying, scanning, data entry and archiving**. **Full training** is provided regarding the different areas of law. **Key responsibilities and accountabilities**
- Manning reception and providing a professional, friendly atmosphere for clients and colleagues, including providing hospitability for clients where required.
- Looking after the 'visitor' book and booking appointments for colleagues/clients.
- The effective processing of all incoming telephone calls including the logging of calls and the conveying of messages.
- Data entry in the case management system
- Undertake photocopying and scanning tasks.
- Receipt and processing of mail.
- Preparing post for dispatch
- Processing client payments and receipts
- Assist with archiving closed files
- Ensure the tidiness of the reception area and support the team with stock levels etc.
- Undertake other clerical and administrative duties as may reasonably be required
- Light cleaning duties, including kitchen and common areas
- Any additional duties as required to help with the smooth running of the practice

**Person Specification**

**Essential Experience required**
- Experience in customer facing role
- Experience in an office environment

**Desirable Experience required**
- Reception experience
- Experience in a law firm and or familiarity with legal terms
- Experience using case management systems or other databases

**Essential Skills required**
- Excellent verbal communicator who knows when to use diplomacy, tact and sensitivity when dealing with others
- Excellent written communication skills to convey messages clearly and efficiently
- Must be able to work calmly under pressure
- Ability to work autonomously and use initiative
