Academic and Student Services Coordinator

We are looking for an emotionally intelligent, high-energy self-starter who is able to use their initiative, and be an active and productive member of a small, cross-functional team, to join our team at HIC. We provide educational opportunities for studentsfrom all around the world by preparing them for undergraduate and postgraduate level study at University of Hertfordshire. You will be working alongside and provide leadership to a group of really dedicated, talented colleagues to ensure that students receivethe very best services, welfare support, and academic provision to achieve their educational goals.
The Academic and Student Services Coordinator (ASSC) is a critical member of the College team with a focus on ensuring that all students feel welcomed and comfortable in our College, and get the administrative, academic, welfare and any other support theyneed to perform to the best of their ability, to be successful and to progress to University of Hertfordshire
**Salary**: £28,000 - £32,000 per annum
**Academic and Student Services Coordinator Duties**:
- Work with the CSO to provide an excellent experience to students throughout the whole student journey.
- Ensure levels of service to students are excellent across the College Services team, through effective management of the College Services inbox, provision of a reception area that is welcoming and informative, and dealing with all enquiries and concernsin an efficient, professional and caring way.
- Coordinate and enhance the extra-curricular activities programme to provide an enriching range of cultural, social and academic opportunities to students, working within the College, with the University, in the city and beyond.
- Ensure that the variety of mechanisms we have in the College to listen to and respond to the student voice are managed effectively, and related actions are followed up on and communicated.
- Oversee the administration of the Student-in Jeopardy Programme.
- Work with students, and all of our stakeholders, to identify any student support needs and put in place interventions or referrals as necessary.
- Follow the College policies, processes and procedures to ensure the smooth operation and administration of the students' journey.
- Maintain the College Services diary in Microsoft Outlook to ensure the whole team are aware of upcoming priorities.
- Ensure the provision of information to students is accurate, up to date and timely.
- Work with the team to make sure that student data is complete, up to date and maintained accurately on our student records system throughout the student life cycle (through enrolment, semester preparation and shut down, dealing with student deferrals &withdrawals etc.), and that such data is protected according to the GDPR regulations and guidance.
- Work with relevant KU departments to ensure the information between the two organisations is effective and accurate, and within GDPR guidelines.
- Oversee student finance to ensure accurate processing of tuition fees and management of College debt
- Academic programme administration and operations:
- Undertake HIC timetabling
- Ensure required DBS are in place for HIC staff and an accurate record is kept
- Coordinate activity related to HIC assessment board and the transfer of relevant data to KU
- Coordinate Exam and Assessment arrangements
- Ensure that student facing information and teaching materials on the VLE are accurate and complete
- Support the Academic elements of the Student in Jeopardy Programme,
- College Operations
- Support the Senior Management Team (SMT) in the implementation of the sub-contractual operating model in particular registration, student finance and the operational handbook.
- Support the Senior Management Team (SMT) in the planning and execution of College events.
- Coordinate activity related to workplace health & safety
- Work with University colleagues and external providers to ensure that the College facilities and supplies are managed and do not impede the business.
**Academic and Student Services Coordinator Requirements**:
- University level qualifications
- Experience in a relevant industry
- Experience of working in a customer services/ education front of house service
- Have the ability to direct and communicate with staff and students from a diverse range of cultural and educational backgrounds
- Successful coordination of processes and procedures
- Good verbal and written English language communication skills
- Good data analysis and presentation skills
- Good team-working skills
- Good understanding of the importance of file management (including electronic files)
- Be able to plan and prioritise duties, seeking guidance from manager when faced with competing priorities
- Demonstrate sound knowledge of equal opportunity, equity and workplace health and safety principles and ability to implement them at the strategic and/or operational level
