Band 2 Patient Administration Clerk - Women’s Services

12.25 hour shift basis (inclusive of breaks) - 23 hours per week

An exciting opportunity has arisen for an enthusiastic and friendly individual to join the Women’s Services Maternity Administration team in the role of patient administration clerk for the Maternity Admissions Team.

The successful applicant will need to be able to work flexibly with working patterns in keeping with a 24 hour service over 7 days a week with shift patterns to cover 12.25 hour shifts (inclusive of breaks). We are looking for one person to fill 23 hours of vacancy.

Bradford Maternity Service is a dynamic service that supports the women of Bradford through the journey of pregnancy and birth. We are a busy, acute unit with many challenges and we need the support of our multidisciplinary work force to enable a high standard of care to be provided. This is a hospital based post working in our Maternity Unit.

For this role you will work within a multidisciplinary team where tasks will include, but are not limited to, provision of reception cover and effective communication with patients, visitors and staff face to face, input of clinical/administrative data such as referrals, booking outpatient appointments, and entering inpatient activity (admissions, transfers and discharges).

You will have a high standard of communication and interpersonal skills with the ability to work with staff at all levels. You will have enthusiasm, motivation and demonstrate pride in your work. We require someone who will ensure we put our patients first to ensure the best patient experience.

- To assist colleagues with workload, providing administrative support relating to the Consultants, Midwives, Nursing staff, and their teams, including, filing, faxing, photocopying, opening and distributing mail, booking case notes in and out as appropriate, clinic preparation
- Provide Reception cover and effectively communicate with patients, visitors and staff face to face.
- To input clinical/administrative data such as referrals, booking outpatient appointments, and entering inpatient activity (admissions, transfers and discharges).
- Register patients into the Maternity Unit using the Electronic Patient Record (EPR) and undertake identification checks using integrated NHS systems such as the NHS Spine.
- To ensure that case notes are kept up to date and that all investigations and other material (outside notes and films) are available for clinic appointments/admissions and that letters/results are filed in the appropriate place in the case notes.
- Maintain efficient office systems and liaise with medical records and other departments/hospitals to locate patient case notes on behalf of the consultant or wards.
- Works in close liaison with other admin clerks and secretaries and assists in the smooth running of the department to undertake other clerical duties as delegated by the colleagues as and when required.
- Cover for colleagues during periods of sickness, annual leave or training which may include management of own workload when necessary for short periods of time throughout the year (with support and guidance from seniors when required). Prioritising workload, working on own initiative as far as possible and ensuring work is carried out in specific timescales, meeting both Trust and Government deadlines. For longer periods of cover, acting-up arrangements may be put in place.
- Required to receive and manage telephone and personal enquiries, often of a sensitive nature in a constructive and sympathetic manner, referring to the appropriate person where necessary and rerouting these calls when required.
- Assist or participate in the training of staff, including temporary staff.
- Participates in the IPR Process.
- Such duties at a comparable level of responsibility associated with the work of the post, wherever possible in agreement with the jobholder.
