Wheelchair and Orthotics Support Officer

The Wheelchair and Orthotic Support Officer at North Tees and Hartlepool NHS Foundation Trust provides administrative and operational support for wheelchair and orthotic services. Responsibilities include managing referrals, appointments, and records; coordinating equipment demonstrations, fittings, and repairs; delivering excellent customer service to service users and healthcare professionals; ensuring compliance with quality standards; and contributing to training and education initiatives. This role plays a vital part in facilitating efficient service delivery and promoting positive patient experiences.
The main duties of the Wheelchair and Orthotic Support Officer include overseeing administrative aspects such as managing referrals, appointments, and records; coordinating equipment-related activities like demonstrations, fittings, storage management and repairs; providing excellent customer service to service users and healthcare professionals; ensuring compliance with quality standards; and contributing to training and education initiatives. This role plays a crucial part in facilitating smooth service provision and enhancing patient experiences.

**1. Administrative Support**:
- Assist with the management of referrals, appointments, ordering and receipting wheelchair and orthotic services.
- Maintain accurate and up-to-date electronic and paper-based records for service users, ensuring compliance with data protection regulations.
- Liaise with healthcare professionals, service users, and their families to provide information and support regarding wheelchair and orthotic services.
- Arrange and coordinate equipment demonstrations, assessments, fittings, and repairs.
- Process requisitions, purchase orders, and invoices related to wheelchair and orthotic services.
**2. Equipment Management**:
- Conduct inventory checks, ensuring the availability and condition of wheelchairs, orthotic devices, and associated equipment.
- Assist in the distribution, collection, cleaning, and maintenance of wheelchairs and orthotic devices.
- Coordinate the repair and servicing of equipment, liaising with external suppliers and service providers as necessary.
- Monitor stock levels and assist with the ordering and replenishment of wheelchair and orthotic supplies.
**3. Customer Service**:
- Provide a high standard of customer service to service users, their families, and healthcare professionals.
- Answer inquiries, offer advice, and address concerns related to wheelchair and orthotic services.
- Ensure service users' needs and preferences are taken into account during equipment selection and fitting processes.
- Collaborate with the multidisciplinary team to deliver a person-centered approach and promote positive patient experiences.
**4. Quality Assurance and Compliance**:
- Adhere to relevant policies, procedures, and guidelines for wheelchair and orthotic services.
- Participate in audits, data collection, and reporting activities to support service evaluation and improvement.
- Contribute to the development and implementation of quality assurance initiatives.
- Maintain knowledge of current best practices, industry trends, and technological advancements in wheelchair and orthotic provision.
**5. Training and Education**:
- Assist in the delivery of training sessions to healthcare professionals and support staff on wheelchair and orthotic services.
- Contribute to the development of educational materials and resources for service users and their families.
- Provide basic equipment-related training to service users and their caregivers as required.
- Experience: Previous experience in a healthcare or administrative role is preferred. Experience working in wheelchair and orthotic services or a similar setting is advantageous.
