Facilities Co Ordinator

The key responsibilities include:
- Liaise with Arteta (Facilities Manager) to check regular maintenance of equipment and internal systems (e.g. heating system, alarms, security etc)
- Report and track any issues relating to building ( e.g. Faulty A/C, Broken furniture)
- Be the first point of contact for staff for any facility related queries
- Check rooms and furniture to identify needs for repairs or renovations
- Ensure that the office and meeting rooms are kept clean and tidy at all times
- Ensure display cabinets in all meeting rooms are correctly stocked and maintained with up to date company product
- Order and restock office and kitchen supplies
- Oversee the schedule for cleaning of the floor and monitor the service being provided
- Ensure any planned activities such as deep cleans are scheduled in and completed
- Monitor activities that happen outside the building, such as proper waste disposal and recycling
- Fix minor malfunctions in office equipment
- Coordinate office and parking space allocation, ensuring that staff are allocated correct car parking spaces and that visitors have correct guidance/passes on arrival
- Keep track of regular and ad-hoc facility expenses
- Manage the distribution of post from front of house
- Maintain an updated record of invoices from external partners. This task will also include the raising, tracking and reconciling of any Purchase Orders needed for facility related expenditure
- Research new services and appliances to facilitate operations
- Ensure compliance with health and safety regulations and be a trained First Aider/Fire Marshall
- Organise the facilitation of confidential waste/shredding of documents where necessary
