We are seeking an enthusiastic individual for the position of Training Secretary Apprentice to provide clerical and administrative support as part of the Training team, on the Hartree National Centre for Digital Innovation (HNCDI) in the Explain workstream.

The Explain workstream is responsible for the delivery of a range of training courses in the digital innovation space, designed to meet the needs of organisations of varying sizes. The Explain Training program addresses the training needs of mid-career staff via online/hybrid learning with various background knowledge and engage with organisations through workshops and webinars.

Alongside this you will be supported in developing a portfolio of work-based projects to build and demonstrate the required skills, behaviours and knowledge required for this apprenticeship.

**About the role and a summary of key duties & responsibilities**

You will be involved with the coordination and implementation of office procedures and your tasks will relate to delivery of the Training program and the administrative support of the Learning Management System (LMS).

You have to be organised and independent, as well as having the ability to multi-task and work to set deadlines.

Duties involve:

- Liaise with staff in other teams, departments and with external contacts
- Schedule and attend meetings; create agendas, take minutes and record actions
- Keep team diaries and arrange appointments
- Printing, collating and disseminating of documents
- Book meeting rooms and conference facilities

**Person specification (Qualifications, Knowledge, Skills and any special requirements)**

Essential:

- Experience of using Microsoft Office toolset including working knowledge of MS Word, Excel, PowerPoint
- your CV and/or Covering Letter should give examples of how you have utilised these
- Good organisational skills
- Good interpersonal skills, particularly in team working and problem solving
- Conscientiousness and attention to detail
- Ability to meet strict deadlines

**Desirable**:

- Basic skills in Microsoft Office packages (Excel, PowerPoint)
- Ability to use content management systems (CMS)
- Using collaborative software such as Google documents/classroom, Teams or Zoom
- Ability to organise and store computer-based information
- Understanding of GDPR requirements when storing and sharing data
- Experience in creating and maintaining filing and other office systems
- Some project management skills
