Hours: Monday - Friday 9-5:30pm
Location: Harrow
Excellent opportunity for an experienced administrator who is passionate about providing great customer service to join an award winning property firm.
The primary role of General Administrator is to assist and provide smooth running of daily operations of the company and the office. There will also be a requirement to assist the estate coordination team from time to time should the business needs require it.
**Main duties and responsibilities**
- Providing excellent customer service to support the management of residential blocks and estates
- Welcoming customers in the office
- Answering incoming calls to the business and attempting to deal with queries raised or passing on the call to the relevant staff member
- Dealing with legal correspondence in connection with property transfers and completion of relevant legal paperwork
- Overall responsibility for the pre-sales and post-sales process.
- Assisting with site set up tasks pre handover to the company
- Assisting with handovers for outgoing clients
- Issuing client mail merges and ensuring documents are issued in line with company guidelines
- Issuing service charge payment requests, budgets and reminders in line with company guidelines.
- Dealing with preparation of client invoices for approval processes
- Dealing with company secretary duties for clients
- Assisting with office management duties
- Management of office supplies and stock levels and place orders when necessary
- Daily scanning of the incoming post and distribution to relevant staff member
- Taking payments for item sales, issuing items to clients and updating item registers
- Amending unit details on the system and ensuring the relevant paperwork is provided
- Completing contractor setups and ensuring the relevant documents are provided
- Assist with business development tasks set by Senior Management Team
- To take on general administration projects as set by Property Managers or the Senior Management Team
- Assisting with tasks usually undertaken by the estate coordination team as business needs require
