**Personal Assistant**

We have a new role for **Personal Assistant** at University Hospital Southampton (SO16 6YD) within Children Health to Senior Managers, immediately start and will be for 2 months.

**Mon - Fri 9am - 5pm**

**Office base**

**This is a band 4, the pay rate is £14.11 an hour.**

This role is to provide a comprehensive personal, secretarial and administrative service to the designated manager (s) and/or Division team. To organise own workload and that of any supervised staff.

The role involves;
- To organise and prioritise diary appointments, re-arranging when necessary, to take account of more urgent meetings/appointments as they arise, informing the manager(s) of any new, changes and urgent appointments.
- To arrange meetings, liaising with other secretaries/staff as appropriate to set a mutually convenient time/date. This may include the booking/arranging of a suitable venue, equipment, and refreshments.
- To prepare/draft meeting agendas and supporting paperwork, as appropriate, ensuring that this information is circulated to the relevant individuals in good time.
- To attend meetings and take minutes/notes as required, initiating action on identified issues, as appropriate. To ensure that these are produced in-line with the agreed format and distributed as necessary.
- To organise/assist in the planning of departmental events (e.g. team meetings, away days), which may include the preparation of agendas and other documents.
- To liaise with members of Trust Management, Human Resources, PCT’s, Strategic Health Authorities and other hospitals/departments as required.
- To open, sort/redirect and prioritise incoming post for the manager, as appropriate.

- **Experienced in minute taking and diary management**
- You are responsible for ensuring that the patient, family, and careers are at the center of everything you do.
- Be open, honest, and willing to acknowledge when something has gone wrong. Make timely apologies and take action to report incidents, including near misses; to ensure that as an organization we learn.
- You should continuously seek to reduce harm by speaking up to managers and leaders if you believe that a lack of skills, knowledge, or resources place patients at a risk of harm or if your concerns are not being listened to. Managers and leaders must listen to others when they raise concerns and take action.
- Wholeheartedly commit to learning about safety, continually striving to improve excellent care. Develop your own ability to detect and correct defects.
