**Part Time Administrator**

**Contract Type: Self-employed (21 hours a week spread over a minimum of three days)**

**Location: Weybridge - office based**

**Salary £20 per hour**

**Summary of a Part Time Administrator**

To provide professional, efficient, and effective administration support to the organisation ensuring efficient and effective running of charity office and daily business

You will support charity Board of Directors in the management and administration of its Statutory and Finance functions

**Key Responsibilities of a Part time Administrator**
- Maintaining filing, both electronic and hard copy as appropriate
- Maintain a database of Membership records. (Currently Access program)
- Membership Renewals - write and issue renewal letters, accepting and logging renewals, chasing up late renewals. Order Membership cards, uploading information to Card provider website.
- HMRC - process annual Gift Aid claim
- PSA Accreditation - Assisting in ensuring PSA Accreditation is maintained and renewed. Ensure fee payments are made.
- Maintaining policies and procedures
- Planning and running of Board Meetings (currently via Zoom)
- Organising meeting venue either Zoom or face to face
- Working with Treasurer/Finance Team with day-to-day Bookkeeping Tasks & responsibilities. (See separate document)
- Raise invoices as required and pay invoices received
- Enter transactions and scan invoices into QuickBooks

**Key Competencies of a Part Time Administrator**
- Experience in working with people in a variety of settings.
- Appropriate organisational and communication skills.
- The ability to prioritise work tasks as necessary.
- The ability to work alone but also as part of a team
- Experience in updating, maintaining, and improving digital platforms.
- IT Skills - Microsoft 365 programs including Outlook, Word, Excel, Access, or some experience of databases. Also, Teams, Zoom, QuickBooks.
