**THE COLLEGE**

**ROLE PURPOSE**

The Publications & Communications Officer works with Fellows, College Officers, staff and students across Balliol to articulate and implement the College’s communications. Drawing on the diverse activities, academic and otherwise, of current Fellows and students within the college walls and the global alumni network beyond, they write, develop and produce content across all channels to inspire, engage and inform Balliol’s external and internal audiences - from school students attending outreach events to alumni and donors young and old, from prospective applicants to visiting academics, from offer-holders to current members.

**MAIN DUTIES**
- Co-ordinating the College’s communications activity and acting as the primary point of contact for College members and staff in respect of communications.
- Writing, sourcing contributions towards, editing and producing the College’s two major publications, _Floreat Domus_ (a 40pp annual magazine with a 30pp _News and Notes _supplement) and the _Annual Record_ (a 200pp review of the year), distributed to all current members and alumni around the world.
- Assuming editorial and administrative oversight of the College website, ensuring that both design and content remain consistent, engaging, accurate and up-to-date.
- Editing and producing a monthly e-newsletter for alumni, friends, and current members.
- Managing the College’s social media accounts, co-ordinating social media activity and the production of suitable digital content including video.
- Working regularly with the Development Office to produce, or assist with, other high-quality communications and publications for alumni and donor relations purposes.
- Developing and implementing, in consultation with the David Freeman Outreach Officer and Tutor for Undergraduate Admissions, a communications plan for outreach and widening access, including production of the College’s prospectus materials.
- Managing the College’s intranet, including maintenance, access permissions and in collaboration with the IT department other technicalities for the platforms used for internal communications, e.g. SharePoint, and otherwise contributing to the dissemination of up-to-date information internally.
- Carrying out any other duties that may be assigned, including working with Fellows and staff on other occasional print and digital publications requirements, e.g. visitor information, library exhibition catalogues and brochures.

In carrying out these duties, the post-holder is expected to:

- Establish productive relationships with Fellows, students, staff, alumni and external suppliers, meeting deadlines and monitoring effectiveness in a cost-efficient manner.
- Ensure, or assist others to ensure, that all College communications are appropriate to their target audience, promote the College’s charitable objectives, and meet the communication aims of the relevant department.
- Adopt the highest editorial standards, promote the use of good design and the College’s visual branding, and encourage coherence between different communications.

**PERSON SPECIFICATION**

**Essential**
- Proven ability to communicate clearly and effectively in written, oral and other formats.
- Experience of creating and publishing compelling, relevant and high-quality content for a range of audiences and channels.
- Proven experience of commissioning and producing hard copy and digital publications, including the design, content and production.
- Experience with desktop publishing and use of website content management systems.
- Experience of commissioning, proofing and editing content created by others.
- Demonstrable attention to detail and a highly organised approach.
- Experience of managing projects from inception to completion.
- High levels of IT literacy and digital skills, and a willingness to adapt to new technologies.

**Desirable**
- Experience of working in a higher education, or charity communications or academic publishing environments.
- Experience and training with Drupal and Adobe InDesign.

**FURTHER PARTICULARS**

**Hours and location**: The position is offered on a full-time basis (37.5 hours per week, with flexibility to work longer hours during specific periods, and also Bank Holidays if necessary, for which time in lieu can be taken). Normal hours of work will be during office hours (Monday to Friday 9.00am to 5.30pm). However, work outside these normal hours, including weekend work, may be required at busy times. Working hours will be mutually agreed between the post-holder and line manager.
