We are seeking to appoint an Events Coordinator; this is an exciting opportunity for a highly engaged and professional individual to join Lancing College and to be part of a team that will take the school into its year long 175th anniversary celebrations.

**The Role**

The role sits within the Marketing, Admissions and Development Department which is very much at the heart of Lancing activities; we are an energetic and forward-thinking team of talented individuals focussed on contributing to the success of Lancing College.

Across the team there is extensive engagement with both internal and external stakeholders. Externally, members of this team are frequently the first point of contact for visitors and guests, representing the College face to face, on the telephone or across social media. The wider Lancing community of OLs, current parents and parents of former pupils are extremely important to the College, and the Headmaster’s Office Team is a primary point of contact and communication.

The role will primarily focus on the operational delivery of digital, hybrid and face to face events, in the format of reunions, lectures, fundraising events, career conferences, admission events, College and Chapel events. We are seeking an experienced and energetic individual who will be able to manage the delivery of high-quality events on time and to budget and have an ability to cope in high pressure situations while never taking their eye off the important details.

**Responsibilities**
- Overseeing the event programme and planning the calendar across the departments.
- Managing the planning and budgeting of each event.
- Researching and dealing with venues, catering and other requirements.
- Be the coordinating lead for all event catering and support requirements.
- Keep aware of any Health and Safety requirements for running events.
- Ensure that appropriate Risk Assessment documents are completed.
- Managing registration/delegate/participants lists.
- Take a lead role in managing, planning and running College Zoom events, working with others to assist and guide them.
- Manage and coordinate the College’s online events presence and activity on Zoom, working with other members of the College community.
- Co-ordinating any marketing materials for the day.
- Attending UK events as required and making sure everything runs smoothly on the day.
- Provide support and regular input to the Foundation team for:Content for newsletters and Quad about recent/forthcoming events.

Generation of ideas for new events.
- Provide administrative support for all the associations within the Lancing Society as required, including agendas, minutes, venue selection, negotiating prices, liaison with caterers, internally and externally.
- Use the Raiser’s Edge database to:Input new data entry.

Prepare reports and queries from the database as required.
Record event attendance.
Update individual records

**About You**

**Essential Skills**
- Excellent organisational skills.
- The ability to multitask.
- High attention to detail.
- Good communication and people skills.
- A creative approach to problem-solving.
- Ability to work under pressure and meet tight deadlines.
- Proficient working within database software and Microsoft Office.
- Able to work within a small team environment but also work independently.
- Comfortable working in a fundraising environment.
- Excellent oral and written communication skills.

**Desirable skills**
- Some knowledge and empathy with the independent school sector.
- (The role requires the post holder to be able to occasionally work out of normal office hours and away from the office.)_
