JOB SUMMARY
1. To provide a variety of pharmacy support duties to the Department including stores, dispensary and homecare office.
2. To be the first point of contact for patients and staff visiting or telephoning the pharmacy dispensary.
3. Ensure patient confidentiality at all times.
4. Ensuring the timely, efficient and prioritisation of enquiries via dispensary hatch or telephone.
5. Provide administrative support to the pharmacy team.

GENERAL

Complying with all Trust and departmental policies and standard operating procedures on a daily basis.

Undertaking such duties as may be required to maintain a safe and effective pharmacy service.

Participating in audits as required by pharmacy staff.

Be committed to maintaining a high quality service to patients.

Standing for periods of time whilst working in the Pharmacy department, with prolonged periods of time at a computer.

Accurately input data into pharmacy computer systems.

Ensuring own computer transactions are performed accurately, maintaining quality of data.

To receive prescriptions and requisitions into the dispensary ensuring all necessary checks have been made and maintain full confidentiality of all information received.

To collect prescription fees from patients, this will involve the use of credit/debit card machines, as well as cash handling. Pass details to Finance department regarding debts, invoices, private patients billing, etc.

To act as telephone receptionist to the dispensary, dealing with routine enquiries from health service staff and members of the public and referring non-routine calls to pharmacy technicians, pharmacists, etc when appropriate.

Administrative Duties
1. Scan paperwork to maintain electronic records.
2. Communicate effectively with other Pharmacy team members using Microsoft Teams.
3. Contact wards or departments by telephone.
4. Support the Procurement officer in administrative duties including invoicing.
5. Support Homecare team in administrative duties, including scanning documents.
6. Participate in daily checks of the emergency drug cupboard.
7. Participate in daily temperature monitoring.
8. Support with vaccination service paperwork, including filing and scanning.
9. Maintain records in the pharmacy archive room, ensuring destruction of out-of-date records.
10. Photocopying, binding and laminating documents as required.
11. General filing/scanning of pharmacy paperwork.
12. Taking minutes of internal pharmacy meetings.

Dispensary Duties
1. To answer telephones promptly and politely where appropriate throughout the working day, dealing with queries and responding promptly. Relaying complete and accurate information recognising self-limitations and referring to appropriate person.
2. Receiving prescriptions from staff and patients at the Pharmacy hatch.
3. Processing payments for prescription charges via cash or card.
4. Establishing where there is exemption from prescription charges and ensuring the appropriate evidence is produced and declarations completed.
5. Retrieving remotely printed prescription from printer, entering the prescriptions onto the Pharmacy Tracking System.
6. Monitor items on the Pharmacy Tracking System including chasing to follow items and long waiting prescriptions.
7. Daily filing of outpatient prescriptions and TTO’s.
8. Monthly filing of prescription, transcribing sheet and stock requisitions.
9. Support discharge medicines service using electronic pharmacy systems.
