**Title: Finance Officer**

**Department: Finance**

**Reports to: Director of Finance**

**Main purpose and scope of role**

This role is responsible for making and recording payments, recording income, oversight of bank balances and providing accounting support to parishes.

The finance team report to and support the Director of Finance, providing the financial and management accounting functions of the Archdiocese, including: production of the Annual Report and Accounts; regular reporting of financial performance to the Board of Trustees and Finance Committee as well as ensuring that the appropriate financial systems and records are maintained. Annual income and expenditure for the year of the Curia is around £2m and across the Parishes around £7m. The finance team helps to ensure that the Archdiocese meets its charitable objectives.

**Key relationships**:

- Director of Finance and finance colleagues
- Central office colleagues
- Parishes - priests, admin staff and volunteers - to help to ensure that appropriate financial procedures are in place at parish level and to provide advice and support as required.
- External - key suppliers, external auditors.

**Key accountabilities**:
**1.** **Financial Reporting**
- Collection, collation and review of parish annual financial returns.
- Reconciliation of payments due from parishes to central funds and ensuring completion of payments (levies, special collections etc)
- Reconcile year end parish deposit and loan balances
- Work with external auditors to provide information on:

- Income and expenditure
- Parish returns
- Parish balances
- Other matters arising

**2.** **Financial Systems**
- **Income and Expenditure**_
- Maintain financial records (based around SAGE 200)
- Initiate and record purchase ledger and non-purchase ledger payments.
- Process and record sales ledger and non-sales ledger income.
- Ensure collection of all income by monitoring income receivable.
- When necessary assist parishes with payments.
- **Payroll**_
- Prepare and manage Curia Payroll
- **Support to Parishes**_
- Providing advice and guidance to Parishes on relevant financial issues, including the development of financial systems.
- Assist and train parish volunteers with the Online Parish Accounting System (this will require initial engagement in learning the key aspects of the system).
- **Banking**_
- Daily / weekly monitoring of central bank balances.
- Monthly monitoring of bank balances of parishes.
- **Parish deposits and loans**_
- Maintain records of parish deposit balances and interest
- Maintain records of parish loan balances

**3.** **General**
- Assist Director of Finance with extraction of data from finance systems and records for decision making.
- Providing advice and guidance on financial procedures to colleagues within the Curia and in parishes.
- Maintain financial controls in areas of responsibility.
- Any other duties as reasonably requested by the Director of Finance commensurate with the capabilities and duties associated with the post.

**Person specification**:
**1.** **Qualifications/Knowledge**
- Accounting experience / training (AAT Bookkeeping etc qualification preferable)
- Experience of working with Sage accounting systems/software preferable

**2.** **Experience**
- Financial accounting systems
- Experience of working in a charitable organisation is preferable.
- Collaborative team working

**3.** **Skills and Abilities**
- Excellent IT skills (Excel, Word, Outlook)
- Able to build strong personal relationships with a wide range of stakeholders including Priests and volunteers in Parishes, and colleagues in the Curia.
- Self-motivated and takes responsibility.

**Other requirements**

Occasional travel to parishes may be required and occasional attendance at meetings in the early evening.
