**About the Role**: As Access to Industry (AI)’s Finance Officer, you are someone who enjoys managing a varied, and constant, workload. Handling the most sensitive information within the organisation, you are committed to very high standards of confidentiality. Processing and recording financial information, you take pride in the accuracy of your work. While not a client-focussed role, the Finance Officer needs to be aligned to our organisational purpose.

**Key responsibility areas will include**:
**Payroll**: You are responsible for gathering and checking payroll information and liaising with the external payroll company, then inputting bank salary, HMRC and pension payments. You manage AI’s auto enrolment pension and liaise with the pension provider.

**Quickbooks**: You use Quickbooks accounting software to manage invoices, payments, project spend and financial reconciliations. The forecasts/budgets for our various projects are input to Quickbooks by you, then have project spend allocated against them, by you.

**Projects**:You allocate and maintain accurate records of project spend against budget.
Currently AI have 20 different projects of varying lengths and sizes, each with a budget.
You ensure that all spend is verified by a manager prior to payment. You compile finance claims and invoices to funders against project spend. You provide financial information to evidence spend to certain funders, and as requested. You provide guidance on compliance and process travel/finance claims from project staff on expenditure. This includes processing staff expenses.

**Reporting**:Using Quickbooks you provide monthly reports to managers, and present these with project spend comment, through attendance at Managers Meetings. You provide financial information for AI Board Meetings (x 5/yearly) and liaise with AI’s
Company Accountant who produces the Board Finance Papers.

**Audit**:You assist with the preparation of AI accounting and finance information and organise the supporting documentation for annual external audit in conjunction with AI’s
Company Accountant. You directly liaise with the auditors, providing information as required.

**Support**:You liaise directly with AI’s external Company Accountant on all AI financial queries, checks and Board Reports. You work with AI’s Co-Chief Executive on day-to
- day finance matters. You support colleagues with financial information on processes such as purchase approval.

**Personnel Records**:You support the maintenance of personnel records for all members of staff. This includes contracts, Right to Work, and personal staff information/contact details. You calculate Annual Leave (AL) allocations and manage AL records. Similarly, you record other leave, such as sick leave. You will record training undertaken by staff.

**Data Security**: You are the named person for reports of breaches in data security and have a role, with the Co-Chief Executive, in ensuring compliance with data retention rules.

**Support**:AI work with an external HR company to provide wider HR and specialist HR advice.

**Other Duties**:
**Office Admin**:You provide support for other tasks when required, including archiving; maintaining a safe and clear work environment; use of data management system; and cover of reception.

**Team**: You will play a part in the wider team of AI through attendance at internal meetings and supporting shared services across the teams.

**Health and Safety & Property Management**:You will ensure a healthy and safe environment and the protection and best use of property and equipment by implementing and observing AI policies and procedures.

**Communications**:You will be an effective communicator as you will be liaising with external agencies
