**Part or full time (25hrs+)**
**The Role**
You will manage the office’s front-desk and perform a variety of administrative responsibilities, supporting the office in general.
You will be our Visitors first impression of Air, welcoming clients and other guests in a professional, friendly and positive manner, maintaining a record of clients booked in and out of the office.
You will coordinate front-desk administrative activities including processing and distributing correspondence and answering phone calls, screening and forwarding to the relevant departments.
Attention to detail and a high level of accuracy in a fast-paced office environment is key
There will be times when information discussed is sensitive so a respect for confidentiality and discretion is required.
Experience in a similar role would be beneficial but not essential.
**Responsibilities**
- Answer mainline phone, transfer calls and take messages in a friendly and confident manner
- Meet and greet visitors
- Distribute post
- Keep office and communal areas tidy and organised
- Book travel and accommodation as required
- Review and order office supplies
- Data entry
- Support with additional everyday requests (cross-departmentally)
- Liaise with suppliers
- Scan and file documents
- Take responsibility for meeting rooms ensuring they are set up and cleared before/after meetings though out the day
- Issue birthday and anniversary cards
- On-board new employees on to relevant systems (peopleHR, CMA)
- Type up/File meeting notes

**Requirements**:
- Proficient in MS Office (MS Outlook, MS Word, MS Excel in particular)
- Positive can-do attitude and willingness to learn
- Excellent time management skills and the ability to prioritize workload
- Attention to detail
- Strong organisational skills with the ability to multi-task
- Self-motivated and highly driven with the ability to use own initiative
- Ability to be resourceful and proactive when issues arise
- Knowledge of office management systems and procedures
- Team worker with a flexible, professional attitude.
- Excellent communication and negotiation skills
