**Job Description**:
This is a new and unique administration position, based within our Coatbridge facility. This role is designed to support the Sales and Service departments.

**Sales Admin - Approx 35%**

You will be responsible for ensuring that Sales orders are processed on a timely basis and ensuring that all equipment ordered is delivered and invoiced within forecasted month. Developing a thorough understanding of both Baan and of the Crown product range. Dealing with enquiries generated from the Sales team and keeping customers informed on delivery dates.

Processing orders received from the Sales team through our 360 CRM system and booking the order onto Baan.. Ensuring Baan order procedures are complied with

Ensure the specification is correct and approved by the Manager.

Progressing Crown factories and external suppliers to ensure delivery times are met. Raising paperwork to ensure trucks are put through the workshop and that transport is arranged for delivery.

Ensure that the Sales team are kept aware of delivery times and that installation information is uploaded to the Service database.

Raising invoices and arranging delivery of equipment to customers in a timely manner.

Handling and resolving enquiries generated from the field. liaise with other departments within the branch.

Preparing Sales Back Orders report for manager approval. Ensuring that forecasted delivery dates are maintained. Passing enquiries onto the Sales team in a timely manner.

**Service Admin - 65%**

To deliver excellence in Customer Care, whilst also achieving monthly targets set in relation to KPI's and Service Budgets.

The role of the Customer Care Representative is to interpret the requirements of both internal and external customers, and to process and maintain accurate and up to date maintenance records onto the in-house ERP system (Baan). At the same time providing administrative support to the Scottish field and workshop technicians, planning & dispatching engineers where required.

This role is critical to Scottish Service Team's success and requires an ability to task manage and prioritise workloads to reflect the requirements of the day.

Person Specification
- A high level of Customer Care and a strong administrative background is required.
- Excellent communication skills both written and verbal, and a fantastic telephone manner are essential.
- Ability to work on their own initiative, towards sets targets, whilst also maintaining a good team work ethic.
- Attention to detail with good organizational skills and the ability to prioritise workload
- Excellent IT skills with a working knowledge of Microsoft Office package and an ability to learn new procedures.
- Responding to queries and simple problem solving.
- Ability to demonstrate a methodical, organised and flexible approach to work.
- Effective listening, verbal and written communication skills.
- Excellent interpersonal and customer service skills, with the ability to communicate effectively with a diverse range of people, establishing and maintaining effective working relationships.

- Ability to maintain a high level of confidentiality and discretion at all times.

Vacancy Details

Hours of Work:
Monday to Thursday - 09:00am to 5:30pm (with 1 hour unpaid for lunch)

Friday - 09:00am to 5:00pm (with 1 hour unpaid for lunch)

Target Salary:
Dependent on experience
