**Head of Project Services**

Based in Derby, at the heart of the UK rail industry, Loram UK is the local subsidiary of the American OEM Loram Maintenance of Way. **Role Summary**

The Head of Project Services is responsible for the department leadership and planning, directing and coordinating all assigned project activities to ensure execution within the prescribed timeframe and approved funding parameters. Delivering projects on time, to the agreed scope, within the agreed financial parameters and meeting and exceeding customer obligations are the primary responsibilities of this role.

**Key Accountabilities**

**Line Management & Leadership**
- Stage gate process champion with strict adherence to process documentation completion
- Work with Commercial, Engineering, Accounting, Procurement and production services on project cost estimates (budgetary and full project quotes) for contract submission and managing project creep.
- Customer interface to ensure project scope compliance.
- Effectively lead cross functional teams and coordination of teams activities; ensuring appropriate and timely issue escalation.
- Achieve Project Key Performance Indicators for all assigned projects.
- Line manage and develop the Project Manager(s) and other members of the team and lead the development of project management goals, objectives and systems.
- Support and give guidance to others/Project Managers on contractual issues and ensure their development for their understanding of contractual terms where required.
- Supports the Director in delivery and achievement of functional and corporate strategy and objectives.
- Mentor, Support and assist the Project Management Office on best practices and procedures.

**Planning/Management**
- Manage multiple complex projects and sophisticated project schedules from customer to tender, through delivery and customer acceptance.
- Define, initiative and plan projects to ensure proper scope and estimates. Manage and communicate project cost, P&L management, and project change orders.
- Validate ERP derived project cost estimates and exemplifies solid ERP skills to drive action.
- Establish work plans and staffing forecasts for each project phase.
- Maintain project visual boards, with on-going project forecast updates and weekly, monthly and quarterly updates.
- Ensures all project definitions, cost estimate, project schedule, risk assessment, and resource loading information are complete and submitted for execution.
- Identify risks and propose mitigation actions, recommend changes to contract language during bid stage.
- Actively participate to resolve issues and escalate to senior management team if required.
- Ensure the project governance is maintained via project review cycle to ensure all stakeholders are aligned in meeting project objectives.

**Reporting and Analysis**
- Leads the project team members to report on project budget, actual, and forecasts for costs, revenues and margins.
- Close projects with post project analysis and lessons learned.
- Prepare and submit monthly management reporting pack to support corporate reporting requirements.
- Establish and deliver periodic reporting to customers as required by the contract obligations.

**Strategic and Functional Processes**
- Engage with RFQ process to ensure responses are delivered in a timely manner to commercial team for tender response.
- Develop and formalize processes that meets or exceeds customer requirements for contract amendments.
- Contribute to continuous improvement efforts to improve efficiency and sustain long term goals and objectives.
- Participate in commercial planning activities and engage in discussions to determine bid or no bid decisions.
- Resource allocation and performance management.

**Systems and Tools**
- Complete all project relevant P&L reporting including cashflow management and assisting with sales invoicing.

**Production and Project costing processes**
- Drive sales forecast valuations for all production activities.
- Assist with milestone invoicing including variation cost control.
- Input and assist the tender quoting process.
- Execute the process of project cost reporting including cost baseline, actuals vs budget and forecasts to carry completion.

**Commercial**
- Fully understand contractual terms, managing projects to maximise opportunities and protecting the company from contractual risk or harm
- Serve as the communication point between Loram UK and customer appointed contact concerning project execution terms for all contracts in progress.
