The post holder will have excellent communication and interpersonal skills, will be able to work using their own initiative and will be flexible and motivated. A thorough working knowledge of Microsoft Office packages and experience of working in a busy office environment is essential. The incumbent will also be required to take comprehensive minutes and transcribe notes from digital dictation. They **must also be able to meet deadlines, be organised and be able to work under pressure, and **have the ability to manage their time effectively to meet the needs of the team.
The post holder will be responsible for undertaking a wide range of administrative and secretarial duties to support the Nursing Teams. This will include the receipt of all correspondence and subsequently ensuring the appropriate action is taken, patient record and file management, as well as the processing of clinical letters, reports and other correspondence as required by the Team.
Liaising with multi-disciplinary team members, other health professionals and staff within the trust, GP’s, Social workers, Service users, Carers and other appropriate agencies.
**Communication**
The post holder will work closely with other members of the Team:
- To act as the main point of contact and administrative support for the Clinical Teams.
- Be responsible for the dissemination of information, messages and enquiries for the Team.
- To maintain confidentiality in relation to patient information and records at all times
- To deal with all telephone calls to the Teams in a professional/appropriate manner, using own initiative.
- To book interpreters as and when required.
**Organisational**
The post holder will be responsible for providing a comprehensive Admin Service which includes:
Undertaking word processing, photocopying, scanning and administration work in connection with patient correspondence, letters and reports, including the use of audio typing via digital dictation systems.
- Co-ordinating and sending out correspondence as required.
- Arranging appointments for the clinical team, booking rooms and arranging the appropriate equipment.
- Taking informal notes of meetings, circulating appropriate documentation, as and when required.
- Maintenance of Admission and Discharge records
- Assist in preparation of correspondence on behalf of patients to external bodies in relation to their in-patient status
- Participate in hospital audits in relation to in-patient records and occupancy
**Information Technology**
The post holder will be required to use Trust Software, Microsoft Outlook to receive and send electronic mail as required.
- The post holder is responsible for ensuring they are proficient in the use of Microsoft Office Software, including packages for corresponding, storing and producing documents and information as required.
**Training**
The post holder will be required to:
- Participate in the Appraisal/RMS process, identifying own professional and personal development and training needs.
- Attend appropriate in-house training courses as required, ensuring compliance at all times.
- Attend regular supervision meetings
**Invoicing**
The post holder will be required to oversee the invoicing process by liaising with the Finance Department regarding inpatient invoicing queries.
**Salary**
Will be prorated in accordance with working hours.
