**MAIN PURPOSE OF THE ROLE**:
The G2V Group is looking for an ambitious individual to assume the role of Office Administrator for the Vivid UK/EU brand and provide a professional, proactive, and comprehensive level of support to Vivid UK/EU senior management and all offices across the UK & Europe.

**KEY RESPONSIBILITIES**:
**Staff & Manager Support**
- Providing daily support to Vivid Managing Director & Senior Managers
- Arranging & facilitating Vivid sales meeting requirements
- Super user for travel system - including travel and accommodation arrangements for incentive trips, company events etc.
- Super user for expenses system - responsible for processing Director’s expenses
- Preparing reports & presentations
- Generic secretarial support
- Act as a point of contact for the brand answering calls and ensuring enquiries are dealt with professionally, timely and efficiently (acting as a face of the brand)
- Provide ad hoc assistance to project work across Operations, Finance, & Sales

**Office Management**
- Maintain supplies of stationery and equipment and arrange for necessary repairs
- Ensure health and safety policies are being observed, and coordinate H&S inspections with the HR department
- Arrange regular testing for electrical equipment and safety devices
- Serve as the main point of contact mailing, payments, supplies and office errands
- Manage contract and price negotiations with office vendors and service providers
- Manage petty cash and ensure accurate and timely reporting to management
- Provide general support to visitors
- Liaise with facility management vendors, including cleaning, catering and security services; and
- Plan in-house or off-site activities, like parties, celebrations and conferences

**Qualities/Skills**:

- Excellent communication skills - interact with Director & senior staff on daily basis
- Enthusiastic, proactive attitude, with a flexible approach and the ability to multi-task
- Good attention to detail, process driven and methodical
- Flexibility and the ability to work on more than one task
- Excellent interpersonal skills, including tact, discretion and experience of liaising with representatives from external 3rdparties
- Commercial acumen

**Essential Criteria**:

- Degree-level qualification
- Experience working with Directors / Senior Level management
- Experience of expenses & travel management
- Strong knowledge of MS Office products
- Ability to travel as and when required

**Desirable Criteria**:

- Ability to work autonomously as well as part of a team
- Experience in a sales / recruitment environment

**Job Types**: Full-time, Graduate

**Salary**: £20,000.00 per year

Schedule:

- Monday to Friday
