An exciting opportunity has arisen within the West Sussex Diabetic Eye Screening Programme for the position of a Failsafe Officer.

The successful post holder will be responsible for the implementation and monitoring of Failsafe & Administration procedures, which close the loop from GP referral, call and recall, exclusions and referral to Ophthalmology.

The post holder will be responsible for the quality of the data and participate in regular data cleansing exercises and liaising with staff from other organisations involved in the programme.

- Communicate in a sensitive manner with patients who may be distressed after the delivery of bad news
- To liaise with software suppliers to rectify any issues and implement any changes.
- Actively participate in multi-disciplinary team meetings
- Manage and deal with confidential information
- Ensure exclusions and suspensions are managed appropriately with a full audit trail and regular review, including permanent exclusions - and in line with National Screening standards
- Ensure that no patients are lost to follow up either in Ophthalmology or Diabetic Eye Screening
- Assist the Failsafe & Administration Co-ordinator with the continual audit of the performance of the programme against national and local standards, in line with governance arrangements. Assisting with analysing data and running pre-set data reports as directed
- Analysing complex problems using a range of facts
- Tracking patients referred through the Ophthalmology process and auditing their care, ensuring those patients who require treatment following referral from the DESP, have this arranged
- Identifying conflicting outcomes between Ophthalmology and DESP and advising the Failsafe & Administration Co-ordinator accordingly.
- Ensure that all patients eligible for screening are invited in a timely fashion.
- Ensure patients who do not attend are managed appropriately with a full audit trail
- Ensure all referrals are actioned and the patient is assessed and treated within the timeframes specified by the English National Screening Programme for Diabetic Retinopathy
- Ensure that results of screening/annual retinal examination (with grading to national standards) of all patients with diabetes under the care of the Hospital Eye Service for any reason are received annually and chase as appropriate.
- Ensure that results of assessment and outcome of screening are received for all patients referred to the Hospital Eye Service.
- Ensure that patients are returned to the screening programme once treatment is complete.
- Participate in regular updates with the Programme Manager, Clinical Lead and Failsafe & Administration Co-ordinator discussing any administration issues.
- Able to manage a demanding/conflicting workload to meet the service needs
- Have excellent organisational and administrative skills to meet national referral timeframes and ensuring that patients are booked into the appropriate appointments.
- To liaise with Care Group Managers to ensure sufficient and appropriate capacity is available for the meet the requirements of the service
- Provide expertise for all Failsafe & Administration functions. This will involve dealing with telephone enquiries from all sources, assisting with management of the appointment system and booking patients for screening appropriately. Validating patient data and ensuring each patient status is correct and that they are on the correct patient pathway
