We are looking for a front of house administrator to organise our independent hearing healthcare practice’s functions, with a special interest and preferably experience in stock management. As a front of house administrator, you will be the first point of contact for our business. To be successful, you should have a pleasant personality, as this is also a customer service role. You should be able to welcome customers, deal with emergencies in a timely and effective manner, while streamlining office operations.
- You will support day-to-day operations by performing administrative tasks and ensuring high quality customer service for our patients. You would also be responsible for organising stock coming into the practice and ensuring that it is distributed between our three practices._

You will be required to perform various tasks on a daily basis, so you should be able to multitask and prioritize. We also expect you to handle sensitive information confidentially. If you are able to combine exceptional communication skills with an ability to perform “behind the scenes” tasks, we would love to meet you.

Ultimately, you should be able to ensure our practice’s smooth operation by accurately completing administrative tasks in a timely manner.

**Responsibilities**
- Welcoming patients to the practice
- Schedule and coordinate appointments
- Answer screen and forward incoming phone calls
- Answer patients’ queries and ensure quality customer service
- Update and maintain patients’ health records
- Maintain inventory management, ordering hearing instruments and repairs
- Manage receivable and payable accounts and maintain financial records
- Use software to support all transactions
- Ensure the practice is tidy and presentable, with all necessary stationary, material and customer refreshments
- Receive and sort daily mail and deliveries
- Manage stock arriving at practice and accurately log into our system
- Organise movement of stock between our three practices
- Update calendars and schedule meetings
- Perform other clerical receptionist duties such as filing, photocopying and transcribing

**Requirements**:

- Proven work experience as a Receptionist, Front of house representative or stock management and similar customer focused role
- Proficiency in Microsoft Office 365
- Hands on experience with office equipment (e.g. PCs, printers etc)
- Professional attitude and appearance
- High level of accuracy
- Solid written and verbal communication
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time management skills, with the ability to prioritize tasks
- Customer-orientated communication skills

**Hours**:
Full time or job share considered.

30-40 hours a week with some flexibility available to include alternate Saturdays

**Job Types**: Full-time, Part-time, Permanent

Pay: £11.50-£13.00 per hour

Expected hours: 16 - 40 per week

Schedule:

- Day shift
- Flexitime
- Monday to Friday
- Weekend availability
