Rural Administrator

To provide efficient and organised secretarial support to the Professional and Estate Management teams. Should be highly organised, flexible and able to clearly prioritise their duties and meet deadlines. They should possess strong communication skills (both verbal and written) and have the ability to work under pressure and have the ability to take and manage instructions from a number of team members, whilst maintaining a high level of service to clients and colleagues.
**Key Responsibilities**
- Audio/copy typing of various documents including letters, valuation reports, schedule of works, heads of terms, draft leases
- Minute taking for meetings
- Maintain the estate management schedules and diaries rent reviews etc.
- Valuation file set up, log management and due diligence procedures
- Liaising with Tenants, contractors and clients
- Invoicing including job time and expenses recovery
- Being proactive with reviewing debtors, aged time and disbursements
- Proof reading of a variety of documents
- Maintaining Dynamics Customer Relationship Management databases for immediate team
- Maintain the Valuation Work System log and assist the professional team with the administration of this
- Answering the telephone for the rural team and other departments (as required) and assisting with queries where possible, and/or taking accurate messages
- General administration including diary management, archiving electronic files and filing
- Distribution of incoming post and franking of outgoing mail
- Lone working implementation (checking safety of team when on site, and when not returning to the office afterwards)

**Team Overview**
The Lincoln Office comprises a team of 30 people delivering property advice to a range of clients in the residential and rural sectors covering residential and rural agency, rural property and estate management, building surveying and architecture, food and farming consultancy and general professional advice across the rural property sector for a wide range of clients.
