Fantastic opportunity for a Facilities Supervisor to join the London office of a modern and forward-thinking global law firm on a 12-month contract basis. Reporting into the Chief Administrative & Professional Development Officer, the Facilities Supervisorcontract role will encompass, reception & catering, cleaning, mail & couriers, business travel, security, fabric & project works, furniture & space planning, security, maintenance, stationery & consumables, health & safety, archiving and indoor plants. Maintainingeffective use of space enabling productivity and supporting strategic direction is critical, alongside ensuring full statutory compliance.
Job Responsibilities & Requirements:

- Supervision of the facilities departmental operations, reception and evening document production team members to promote engagement, meet department objectives and provide excellency in service delivery.
- Regular communication with stakeholders to facilitate a professional, safe, supportive and collaborative working environment.
- Conduct routine checks of the premises to identify and address defects, maintain and promote a professional image.
- Liaise and maintain strong working relationships with the landlord and associated building teams.
- Contract management of multiple outsourced services, including tenders, renewal negotiation and SLAs.
- Assist with space planning, internal moves, furniture, fabric and small project works, oversee correcting snagging and defects.
- Manage and draft the annual facilities budget, ensuring cost effectiveness.
- Conduct health and safety tasks including maintaining policies and their distribution, internal and specialist risk assessments including completing actions, site health and safety checks, fire, first aid, new joiner inductions, drills, training and supplies.
- Ensure compliance with legislative requirements, best practice and Firm policies and procedures.
- Contribute to environmental and sustainability initiatives, including EMS reporting.
- Office security including contractor building access permits and review of contractor paperwork, access control systems and access passes.
- Ensure the basic facilities including water, heating and cooling are well maintained.
- Assist with business continuity planning and implementation as required.
- Work with internal departments to facilitate office events, including catering and security requirements.
