**Contract Type**:Permanent, Part Time (22.5hours)

**Working Pattern**:Permanent, Full Time (37 hours over 5 days)

**General Description**

Southern Inshore Fisheries and Conservation Authority (IFCA) manage sustainable inshore fisheries out to six nautical miles. The diverse commercial and recreational fisheries within the district play a vital role in supporting the coastal communities along our coast. The district also hosts a network of nationally and internationally important Marine Protected Areas.

We are currently looking for a reliable individual who will undertake administrative tasks which will contribute to the teams’ delivery of sustainable fisheries management within the coastal waters of Hampshire, Dorset, and the Isle of Wight.

**Key Duties and Responsibilities**

**1.** **Day to Day Administration**

c) Update the Authority website page and social media channels with pre-approved content

d) Maintaining systems to record staff leave, absence recording and timesheets

e) Maintaining electronic staff personnel files

f) Administering recruitment functions

**2.** **Quarterly Administration**

a) Arranging Quarterly Authority Meetings and Sub-Committee Meetings (in person and virtual).

c) Manage Quarterly Meeting venues and track meeting attendance.

d) Minute taking at Authority Meetings and Sub-Committee Meetings.

**3.** **Estate Management**

a) To manage office stocks and stationary supplies.

b) To maintain inventories for office equipment and uniform.

c) Manage and facilitate access for site contractors (to include window cleaners, office cleaners, CCTV operatives)

d) To work in accordance with the Southern IFCA Health and Safety Policy, ensuring annual Pat Testing is undertaken

e) To work in accordance with the Southern IFCA Health and Safety Policy, ensuring Fire Extinguisher servicing is undertaken and fire alarms tested.

**1.** **General duties**

a) Provide support and cover for the wider Business Services Team as required.

b) Support the role of Chief Executive Officer in the provision and development of an effective and efficient administrative service by the Authority.

d) Undertake any other tasks commensurate with the grading of the post

e) Identify and undertake available training opportunities, with a commitment to continuous development.

f) To positively promote Southern IFCA and its values, ensuring equality and diversity is advocated in the workplace.

**Education**:

- 5 GCSEs (A* to C) to include English and Maths or equivalent qualification
- 3 A-levels or equivalent qualification

**Professional Experience & Knowledge**
- Proven experience working in a similar role
- Experience with minute taking
- Experience in building and managing databases and spreadsheets
