THE ROLE:
Client Administrator
We are looking for a full time (Mon - Fri 8.30am - 5.30pm) Client Administrator to join our team. Working closely with our Deeds Manager, this varied role will involve dealing with all client onboarding tasks and some wider administrative duties.
Duties will include, but are not limited to:
Deal with Client Onboarding tasks on a range of matters, such as:
- Create and add contact/client records to our Practice Management System (PMS).
- Run conflict checks using data supplied and other available data on our PMS.
- Deal with the result of conflict checks in accordance with our compliance procedures.
- Review Client ID received from clients or digital systems, including confirming that the correct ID has been obtained.
- Undertake Electronic checks with ID supplied.
- Follow up on ID queries by checking other external sources to help verify the ID of clients.
- Undertake any of the above tasks in order to carry out PEPs and Sanctions checks.
- Escalate any matters which require further investigation to the Deeds Manager.
- Liaise with Partners, Fee Earners, secretarial staff and other colleagues when it comes to completing any of the relevant Client Onboarding tasks.
- Ensure that all tasks are undertaken in accordance with Anti-Money Laundering, Compliance and other regulatory requirements.
Wider role:
- Arrange for closure and re-opening of matters on our PMS.
- Maintain the client Deeds and Wills registers, including entering new records.
- Deal with Deed and Will retrieval requests from Fee Earners and secretarial staff.
- Help the with morning post deliveries.
- Maintain high standard for client service and quality control.
ABOUT YOU:
Key skills include:
- Preferably educated to degree level.
- Experience of working in a law firm, preferably with an understanding of Client Engagement and related procedures.
- Otherwise, a willingness to learn such procedures and the regulatory and risk requirements associated with the range of services in the legal industry.
- Ability to manage processes efficiently, with accuracy and attention to detail, and adapt easily to procedural changes.
- Strong analytical and research skills.
- Excellent communication skills, written and verbal.
- Team player that is adaptable to a fast-paced and changing environment.
